The purpose of this position is to lead, initiate, and manage complex tasks to support fiscal, personnel, and administrative support functions for the School of Nursing’s centralized payroll services, including all aspects pertaining to payroll, application of costing, and position/appointment management in Workday. Responsible for major complex budget functions and supports diverse activities, including budgets for grants, federally funded stipends, and leaves.
DUTIES AND RESPONSIBILITIES
Payroll Administration:
  • Manage distribution of Workday and UW Connect SoN Payroll Services requests between self and the payroll coordinators.
  • Review and approve Workday business processes and CTMs entered by the payroll coordinator.
  • Manage Workday business processes for department trainees, including residents and fellows. This includes the management of the multiple appointment and compensation processes required for complex fellows who are funded by federal grant awards. This requires accurately projecting and maintaining fellows’ federally funded stipends at the correct amount, as well as identifying errors in the stipend amounts and initiating corrective actions.
  • Perform regular audits of payroll to ensure pay and costing are correct.
  • Investigate and resolve discrepancies. Identify and correct overpayments and retro payments.
  • Serve as name support contact for SoN Payroll with ISC to ensure timely, accurate pay and identify and implement corrective actions.
  • Monitor all payroll business processes in progress and proactively escalate to business partners and others as needed when processes are at risk of not being approved by the deadline.
  • Train payroll coordinators on all aspects of their work; provide guidance and instruction on the implementation of updates to Workday HR and Finance that impact payroll processing and reporting.
  • Generate and distribute HR/Payroll reports to Department Administrators and Budget Administrators forecasting upcoming changes. Field questions/handle discrepancies in regard to the reports.
    Process Review and Improvement:
  • Assist the Finance Manager, Payroll, and Associate Director, Finance in identifying departmental HR/Payroll needs, recommending changes, and implementing improvements.
  • Attend UW Payroll Coordinator, Named Support Contact (NSC), and ISC/Workday meetings and training opportunities as appropriate.
    Communication and Training:
  • Serve as a resource for supervisors and managers regarding payroll-impacting change requests, UW timesheet policies, procedures, reports, and forms.
  • Prepare and send regular reminders for payroll deadlines, processes, and policy changes.
  • Prepare and present materials for faculty, staff, and student-employee orientations.
    MINIMUM REQUIREMENTS
  • A Bachelor’s Degree with major study in accounting, business administration, or related field and two years of experience designing, developing, evaluating and interpreting financial information and budget/fiscal policies, or equivalent combination of education/experience.
