University of the Pacific is Hiring a Business Manager Near Stockton, CA

Primary Purpose:
The Business Manager is responsible for management of financial and budgetary transactions in designated Student Life departments, including but not limited to: Residential Life, Student Engagement & Transition Programs (Orientation), and Auxiliary Services including Housing Operations, Dining, Summer Camps/Conferences, the Bookstore, and Space Management by performing advanced level budgetary and programmatic data collection, analysis and reporting to support student engagement, success, and retention. The Business Manager has a dotted line report to the Student Life Executive Director of Resource Management, assists in the development of financial plans and projections for assigned units, and provides backup support to other areas in the Division as needed. As a member of the division of Student Life, works to advance student development and retention; promotes diversity, inclusion, and respect; and empowers students to thrive.
Essential Functions:
Working with the Executive Director of Resource Management, and University Budget, creates dynamic budget models to assist in setting annual room and board rates utilizing enrollment targets and historical data. Developments and submits the Auxiliarys Residential Life, Housing Operations, Dining, and Conference Services annual budgets and revenue projections.
Uses advanced computer skills to identify and ensure all revenue and expenses posted to accounts associated with areas of responsibility are correct and done in timely manner. Performs audits, data analysis, prepares spreadsheets, charts, and presentations to report findings.
Works with Housing operations staff to develop reports to audit RMS/Mercury Housing system against Banner to ensure income and student room and board charges are accurate. Notifies leadership and student accounts of any billing issues.
Manages contracts, billing and collections for Staff Housing, including necessary reporting to Payroll.
Provides Financial Aid with list of student staff receiving scholarships for room and board each term. Ensures billing and credits are correctly posted on student accounts.
Provides assistance with project management for small- and large-scale capital projects within the housing, dining, and bookstore areas.
Assists assigned department leadership in planning for the allocation and management of resources from current, designated/restricted, grant, and gift funds. Develops and submits comprehensive budgets for assigned departments. Provides recommendations for efficiencies and revenue generation per department operations.
Develops and maintains strong customer service relationships with staff, faculty, students, student organizations, and other Division constituencies. Works closely and collaboratively with department leadership, and campus partners including but not limited to: Student Business Services, Financial Aid, Human Resources, University Budget Office, Payroll, Procurement, Financial Reporting and Development.
Responsible for the management and maintenance of financial records; prepares all financial transactions including but not limited to: journal entries, budget transfers, requisitions/purchase orders, area /staff reimbursements, and check requests for assigned areas.
Prepares monthly budget reports for leadership, identifying potential budget shortfalls (if any), or surpluses, and develops a plan to address with the appropriate department manager.
Provides training, operational, and technical support (e.g. Banner, FAMIS, EMS, Cobblestone, Transact, SharePoint, Handshake, etc.) to staff.
Manages employment hiring and terminating processes and submits personnel hiring actions (EPAFs). Serves as backup for timesheet approval processes.
Assists in the development of procedures and tools to improve department and division operations, focusing on the on-boarding and training of new staff.
Reconciles and processes Procard activity cardholder statements for assigned staff.
Provides back up to other departments and Business Managers as needed to support the Division of Student Life during vacations, leaves, or staff vacancies by cross-training and willingness to learn additional tasks, software, and processes.
Assists in the development and submission of contracts into Cobblestone, managing vendor setup, and ensuring adherence to university policies and procedures. Provides guidance and training to staff when necessary.
Attends monthly Business Manager Meetings and upon request may serve on various institutional committees.
Improves technical skills and professional knowledge by keeping current with new and leading/best practices, communicating with peers, and participating in professional development opportunities.
Serves as unit representative on various University or Divisional committees, special projects as appointed, and attends functions when requested.
Performs other appropriate job-related duties as assigned.
This position serves as Campus Security Authority (CSA) as outlined by the Clery Act. CSAs have federally mandated responsibilities to report crimes that are reported them.
Minimum Qualifications:
Bachelors Degree (Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post-high school education coursework).
Two (2) years of experience in budget management and/or fiscal operations.
Intermediate level Microsoft Excel skills.
Data analysis experience.
Preferred Qualifications:
Masters Degree in Business Administration.
Experience with Ellucian financial software.
Experience with Auxiliary budgets in a University setting.
Experience with Housing Database Systems.
Skills/Knowledge and Expertise:
Advanced knowledge of accounting procedures and practices, budget and forecasting, and reporting.
Computer and analytical skills sufficient to query large data stores, verify data integrity, and organize results in a meaningful way.
Excellent writing skills sufficient to draft clear and concise professional reports and presentations.
Strong organizational skills to work independently and to effectively prioritize workload under the pressure of competing assignments and fluid deadlines.
Experience and sensitivity in working with people of diverse backgrounds and cultures.
Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
Ability to engage and integrate culturally responsive practices and knowledge in their work.

Duties require constant sitting and repetitive motion while using computer keyboard and phone. Frequent walking, standing, and simple grasping. Work Environment/Work Week/Travel:
Work performed during standard business hours. May require occasional weekend and evening work to support department, division, or university events.
