Salary
Salary Range: $59,500 annualized/with flexibility, commensurate with education, experience and qualifications.
Hours per Week
Exempt Position: 40 hours per week.

Essential Functions
Working with the Senior Director of Development, this position is responsible for all aspects of division-wide donor and community engagement events as well as donor/community engagement related special projects in support of the Institute of Texan Cultures (ITC) and the UTSA Libraries. Plan and execute events maximizing donor and community engagement with the university.
  • Manages, plans and executes all aspects of on and off-site donor cultivation, stewardship and recognition events to include coordination/procuring of location, facilities, technical services, supplies, marketing, publicity, and personnel.
  • Manages financial transactions, including budget tracking, invoicing, and billing records for all events.
  • Serves as main point of contact and project manager for various large-scale university and division-wide events, including activities involving the Institute of Texan Cultures Festivals, Advisory Council meetings, and Development related events.
  • Works with internal university departments and external vendors and partners to facilitate large-scale events and provide expert guidance, employing industry best practices in programs and events as cultivation opportunities.
  • Partners with external stakeholders including corporations, individual donors, and community groups to host community-driven Institute of Texan Cultures Festivals.
  • Ensures sufficient support personnel and volunteers are scheduled and properly trained.
  • Works with University Marketing & Communications to produce marketing materials such as event invitations and programs.
  • Ensures that logistical and operational needs for all event participants are provided.
  • Creates event process workflows that outline event schedule from set-up to wrap-up and post event follow up with budget, attendance, and stewardship of attendees.
  • Produces and executes special stewardship mailings including donor gifts, event mailings, giving milestones and giving societies.
  • Attends institutional meetings and serves on committees for high-level special projects.

  • Performs other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited institution and three years of experience planning and executing mid to large scale events from start to finish including managing assigned budget, vendor relationships, contracts, and on-site management of staff. An additional 2 years of experience may substitute for 2 years of education.
  • Excellent communication and interpersonal skills.
  • Flexibility and initiative, as well as the ability to work independently, combined with the skills for thriving in a team environment to achieve institutional goals.
  • Demonstrated skills in customer service and project management.
  • Demonstrated ability to organize and complete multiple tasks simultaneously and successfully with close attention to detail and prioritization to meet deadlines.
  • Ability to work with diverse groups of people.
  • Ability to work collaboratively and courteously with colleagues throughout the University, alumni association, other constituents and the public.
  • Experience working with Microsoft Office.
  • Criminal Background Check (CBC)
Preferred Qualifications
Bachelor's degree from an accredited institution
  • Seven years of similar experience.
Working Conditions
Working Conditions:
  • Requires use of personal computing equipment, telephone, multi-functioning printer and calculator.
  • Ability to travel to and from meetings, training sessions or other business-related events.
  • After hours and weekend work is required on an occasional basis.
This position will be Hybrid-Regularly and allows working both remotely and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
