Purpose

The Academic Program Coordinator is a position of academic support for the academic programs of the School of Architecture. This position reports directly to the Associate Dean for Academic Affairs and works collaboratively with the Sr. Academic Program Coordinator within the Academic Affairs team. The position serves as the primary point of coordination for the School of Architecture faculty for course coordination and scheduling and works in conjunction with the Student Affairs team and university representatives to: serve the academic administrative needs of The School of Architecture and its constituencies and contribute to a positive and collegial work environment of SOA.

Responsibilities:

Course Scheduling

  • Manages all phases of course scheduling in consultation with the Associate Dean and Program Directors.
  • Edits course schedule using Class Manager and Course Schedule Update systems.
  • Ensures that the School of Architecture (SOA) follows best practices regarding timely submission of course scheduling requests and updates during each cycle.
  • Schedules and reserves classrooms, activates waitlists, manages course descriptions, tracks flag designations, and confirms seat counts and prerequisites.
  • Submits requests for small classes, non-standard class times, and cross-listed courses.
Course Management
  • Monitors course enrollment statistics, student rosters, waitlists, and student interest in electives to utilize academic resources most efficiently.
  • Collects syllabi to upload in the university syllabus system per university policy.
  • Manages the Course Instructor Survey functions for the SOA and maintains historical records.
  • Confirms organized course meeting information and class groupings with faculty through FASET and performs final audits.
  • Schedules final exams, in accordance with university policy.
  • Serves as textbook coordinator and point of contact for the SOA.
Course Inventory
  • Updates all facets of SOA undergraduate and graduate Course Inventory following established policies and deadlines.
  • Ensures that the SOA follows best practices regarding Course Inventory updates.
  • Collaborates with university partners, SOA Student Affairs and SOA administrators in support of maximizing the functional utilization of course-related processes and procedures.
Final Review Support
  • Under the direction of the Associate Dean for Academic Affairs, responsible for support of the studio final review processes and procedures. Works in collaboration with the Sr. Academic Program Coordinator and the SOA Student Affairs team for this scope.
Studio Lotteries
  • Under the direction of the Associate Dean for Academic Affairs, assists the Sr. Academic Program Coordinator with the studio lottery process. Works to resolve any incidental issues that arise during the overall studio lottery process and supports the studio space allocation process.
Marginal/Incidental Functions
  • Manages room reservations for all events in the Associate Dean for Academic Affairs' portfolio: including but not limited to courses, studio lottery, final studio/portfolio reviews, and events hosted by the Associate Dean and SOA.
  • Backs up the Senior Academic Program Coordinator and SOA receptionist as needed.
  • Attends GSC and UCC meetings for SOA academic programs and takes meeting minutes for archiving and distribution.
  • Assists in support of all SOA accreditations and assessment tasks.
  • Creates, maintains, and promotes technologically advanced office protocols utilizing a high degree of innovation.
  • Extra hours may be required at peak periods.
  • Other related functions as assigned.

Required Qualifications

Bachelor's degree and three years of experience coordinating or administering a program.

Demonstrated innovation, initiative, and follow-through; tact; diplomacy, and judgment in dealing with students, faculty, staff, and administrators; punctuality and professional demeanor.

Excellent oral and written communication skills.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required amount of education and/or experience.

Recent experience working with faculty and students in an academic capacity.

Familiarity with university applications and systems used to complete daily tasks.

Knowledge of The University of Texas at Austin and School of Architecture programs and procedures.

Salary Range

$48,000 - 52,000

Working Conditions

May work around standard office conditions. Repetitive use of a keyboard at a workstation, use of manual dexterity. Lift and move standard office files and supplies. Appropriate office attire required. Work hours may include occasional evenings, weekends, and some holidays during peak periods to meet deadlines. This position is expected to primarily work on site at the School of Architecture.
