The HRSM-Department of Sport and Entertainment Management (SPTE) seeks applications for the position of Business Operations Coordinator. The purpose of the position is to support the Department of SPTE with general administrative duties pertaining to business operations. Responsibilities consists of providing administrative/operational support to the SPTE Business Operations Specialist and the Director of Special Events, to include but not limited to the following: Generate and process travel requests and travel reimbursement. Maintain travel records and monitor travel expenses to ensure budgeted amount is not exceeded, assists with travel arrangements, reconcile travel expenses. Welcome SPTE guests and maintain professional interactions, manage appointments, answer main phone line, deliver messages, oversee mail operations, open and close office each day. Perform activities related to procurement and supply services. Maintains/orders office supplies (Staples, business cards, etc). Provide back up support to HRSM HR Team as needed (SPTE hires and processes), to include but not limited to : initiating HR action relative to TFAC hires, TEMP hires, FOVs, SAPs, Internal Duals, Sabbaticals, Modified Duties, Affiliate Appointments, TFAC Summer Hires, Worker’s Compensation, SACSCOC, and I-9/E-Verify. Maintain departmental HR spreadsheet, record Eform actions that have been initiated and approved, which can easily be retrieved; to expedite resolution of compensation inquiries that may arise. Monitor finance intranet to ensure compensation associated with each Eform is rendered in a timely manner. Provide operational support for department events, including but not limited to: Department meetings, SEVT, CSRI Conference on College Sports, Regan Lecture, Columbia Sport and Entertainment and Business, Making Money.
Minimum Qualifications
Associate Degree, 4 or more years work experience in an office setting, or an equivalent combination of education, training or experience.
Preferred Qualifications
Administrative/Operational Support work experience, utilizing Microsoft Office applications, assisting customers/clients/students in person and via email.
Knowledge/Skills/Abilities
Knowledge of policies, procedures, rules and regulations related to specific administrative functions. Knowledge of governmental and personnel procedures, practices and policies. Knowledge of modern office practices, procedures and equipment. Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to plan, organize and communicate effectively. Excellent written and oral communications skills and the ability to work without supervision.
