Student Health Services
Job Purpose:
The Office Manager is responsible for supporting the daily operations of Student Health Services including patient scheduling, electronic medical records management (Medicat), patient triage, preparing and compiling reports. A capacity for independent judgement and innate ability to appropriately communicate with various University constituents, especially students, is required. Confidentiality regarding patient health records must be maintained, which includes a strong working knowledge of FERPA and HIPAA regulations. The Office Manager reports directly to the Assistant Dean of Student Wellness and is expected to carry out the responsibilities, associated duties, and tasks for the effective operation of Student Health Services with minimal supervision. The Office Manager will collaborate with Physicians, Physician Assistants, Nurse Practitioners, Registered Nurses, and Medical Assistants.
Essential Duties:
  • Supports and manages the front office operations of the Student Health Services Department
  • Assists with the patient scheduling, registration, check-out
  • Manages the electronic health record system (Medicat) which includes but is not limited to scheduling, client communications, medical notes, data retrieval and reporting and provides updates and training to SHS staff
  • Communicates effectively in person, via telephone, and email with students, parents, faculty, administrators, and other University staff and ensures all are treated with respect and professional courtesy
  • Schedules appointments, manages the departments calendar, email account and manages/oversees provider schedules
  • Coordinates the transport of students to hospital emergency departments or other health care facilities for diagnostic studies, referrals, etc.
  • Ensures the immunization compliance of incoming students and oversees the process of entering/scanning all student health information into the electronic health record system (Medicat)
  • Orders departmental, office and medical supplies and completes various financial/budget tasks such as purchase orders, check vouchers, deposits, expense forms, etc.
  • Coordinates the collection of statistical data from daily encounters and assists with weekly reporting, Board of Trustees quarterly reports and annual reports
  • Maintains the Student Health Services website through the Content Management System (CMS)
Additional Skills Required:
  • Effective administrative/office management skills
  • Competent working knowledge of current computer software applications (Microsoft Office, Word and Excel) and demonstrated , strong technical skills
  • Ability to effectively communicate with students, parents, administrators, faculty, and staff members and outside constituencies
  • Ability to uphold and model high standards of confidentiality required of health care facility employees
  • Strong organizational and time management skills
  • Must be able to support the Universitys commitment to fostering a diverse, equitable, and inclusive culture
  • Must be able to respect, contribute to, and participate in the Universitys Catholic and Jesuit mission
Minimum Education Requirements:
  • High school diploma or equivalent
Preferred Education:
Minimum Job Experience Requirements:
  • Minimum of two (2) years clerical and/or administrative assistant experience
Preferred Qualifications:
- Demonstrated office operations/management skills in a health care setting is preferred- Previous experience with electronic medical records is preferred
Schedule/Work Hours:
Monday through Friday, 8:30 a.m.-4:30 p.m. Additional hours as required.
