Associate Director, Gift Administration and Operations
Job Summary:
The Associate Director of Gift Administration and Operations will work with the Office of Development, other university departments, and off-campus entities in establishing, communicating, and enforcing procedures and policies for donations to the University. The Associate Director will manage two key functional areas: Gift Administration/Donor Intent and Gift Processing, with 3 to 4 direct reports. Further, the Associate Director will oversee fund balance audits and recommend action when necessary. The Associate Director will be responsible for designing strategies for fund analysis and research, managing fund administration workflows, maintaining and ensuring donor intent and all aspects of gift processing.
Full Job Description:
RESPONSIBILITIES:
Gift Processing:
Oversee the team of gift posters and maintains and creates operational best practices, standard operating procedures, and documentation for accurate and timely gift processing.
Support the gift posting team's responsiveness to internal and external constituents including colleagues in Donor Services and Stewardship, Development, and across campus.
Oversee designation creation, updates, and maintenance in Salesforce.
Review gift record data, gift entries, and donor backup documentation.
Manage and creates standard operating procedures and documentation of processes and procedures.
Continuously review and recommend enhancements to gift agreement policies and procedures.
Assist the gift posters with questions on unclear gift/pledge intent and obtain the necessary gift documentation from donors and/or gift officers.
During high-volume gift processing periods, post, review, and reconcile gifts
Gift Administration:
Manage relationship with, and serve as primary liaison with Accounting and Business Services and Financial Aid colleagues with gift research, audit requests and supporting documentation for the interim and final audits annually.
Oversee partnerships with fund administrators (across campus as needed) and gift officers or members of the Revenue team.
Manage updates to the written gift processing and gift agreement recording procedure documents.
Research and provide copies of gift documentation as requested by the office of Development and the office of Accounting and Business Services for general questions and during any scheduled audit operations.
Communicate with the Office of Development, other University departments and off-campus entities as to procedures and policies for receiving donations to the University.
Provide strategic oversight and recommendations for restricted fund descriptions that are sustainable and in compliance with Federal and State laws.
Donor Services and Operations:
Develop, perform and oversee annual internal audit of restricted funds to ensure funds are expended in accordance with gift agreements.
Review all gift agreements and proposed new restricted gift funds for compliance with university gift minimum standards.
Develop, perform and oversee an annual audit of donor sponsored scholarship awards to ensure compliance with gift agreements.
Oversee the migration of donor intent documents and gift documentation from a variety of sources into Salesforce.
Oversee data integrity and identify and implement process improvements as needed.
Contribute to the ongoing advancement and enhancement of our Salesforce database.
Lead projects and initiatives collaborating with multiple stakeholders as assigned by the Sr. Director
MINIMUM REQUIREMENTS:
  • Bachelor's degree required
  • 5 years of related experience with 1-3-year direct experience in fundraising and gift management experience highly preferred
    • Exceptional written communication skills, strong interpersonal skills with a demonstrated ability to effectively build partnerships with diverse groups of people
    • Demonstrated ability to work independently and make informed decisions while also displaying an enthusiasm for learning and the confidence to ask questions
    • Project management expertise
    • Database experience, Salesforce preferred
    • Demonstrated attention to detail including exceptional proofreading and deadline management skills
    • Creativity, flexibility, and a dedication to process improvement
    • Knowledge of development/fundraising and/or donor relations best practices preferred
    • A strong team orientation with a strong habit of collaborating, but also capable of working independently on projects with minimal supervision
    • Understanding of and respect for confidential information. Exemplary commitment to adherence to university privacy and data security processes
    • The ability to apply sound judgment in all situations is required, as are excellent organizational skills with thorough attention to detail
    • The ideal candidate will be a highly motivated, professional team player with outstanding courteous interpersonal skills and an excellent customer service attitude
