Job Description Summary
The President's Office invites applications for the position of Business Administrator. The Business Administrator is an integral member of the financial team and is responsible for financial oversight and daily financial operations for the President's Center. Reporting to the Director of Finance and Administration, the Business Administrator will conduct monthly reconciliations, projections, financial analysis and reporting; monitor all department expenses, oversee the Center's purchasing, accounts payable and payroll activities, financial reports and budget analysis. Will manage special projects as needed.
Job Description
This position supports the Director and the President's Center in long-term planning and analysis activities. Oversee and manage all aspects of the Center's financial matters which includes budget creation and management and financial forecasting. Prepare and analyze complex financial reports. Manage the Center's operating accounts, as well as gifts, endowments, grants, research and discretionary funds. Maintain and track staff salary distribution payroll. Monitor all departmental expenses. Oversee Center's purchasing, accounts payable, payroll activities, financial reports and budget analysis. Manages purchasing and vendor relations, negotiates contracts, sets annual budgets, and creates monthly and quarterly reports to monitor spending. The incumbent will provide support and training for all users of BEN Financials applications in the Center, prepares financial reports to assist departments in monitoring and analyzing budget performance, and reconcile monthly BEN transactions and other systems to ensure data integrity. Assists with the President's Center budget preparation and ongoing management of Center budgets.
The position is also responsible for maintaining knowledge of University policies and procedures, continuing education of new systems as they develop, working to stramline processing, ensuring adherence will all University and government guidelines, and ensuring the fiscal integrity of all financial transactions. Represents the President's Center on certain University committees and performs other duties as assigned.
Qualifications:
Bachelor's Degree with 3-5 years of related experience or equivalent combination of education and experience is required, preferable in a higher education environment.
Strong financial and account management experience is required. Experience with Penn's financial systems (BEN, Workday, Qlikview, Business Objects and Oracle-based applications) is preferred.
Advanced proficiency in Microsoft Office (particularly Excel), spreadsheets, and PowerPoint are required.
The successful candidate must possess:
Excellent interpersonal, organizaitonal, communication and problem solving skills.
Be skilled at enforcing guidelines and protocols in a diplomatic manner, and handling sensitive and confidential information while maintaining a strong customer service orientation.
Be able to work under pressure; possess strong attention to detail and demonstrate a proactive work style with strong follow-up skills.
Work reliably and independently while functioning as part of a team, remain flexible in order to adapt quickly to changing priorities.
