The Business Administrator position requires a candidate who exhibits an engaged and responsible attitude and possesses the ability to work effectively with faculty, staff, students and within a team. We are seeking a candidate possessing a proactive work style with strong follow-up skills and the ability and desire to add value to the School of Nursing. The successful candidate should clearly demonstrate attention for detail, effective interpersonal skills, and the ability to enforce financial guidelines with constituents in a professional, diplomatic, and assertive manner. The successful candidate will exhibit a professional presence which will allow the candidate to take ownership of their business office responsibilities. An ability to react quickly in a deadline-driven environment is highly preferred. A successful candidate will possess an ability to switch gears depending on project deadlines and an ability to collaborate well with individuals of diverse backgrounds and skill sets within different areas of the School. The ability to work in a collaborative and responsive manner to answer questions and resolve discrepancies as well as remain flexible is also required. This position will also provide cross-functional support for the School of Nursing Office of Business and Finance.
Reporting to the Associate Director of Finance, the Business Administrator is responsible for coordinating daily financial and administrative functions for assigned departments in the School of Nursing, including but not limited to compensation, procurement, financial reporting, and budgeting. This includes understanding and applying applicable accounting standards and policies; analysis, reporting and research to financial and administrative functions.
Oversee and manage all aspects of the school/center financial matters which includes budget creation and management and financial forecasting. Prepare and analyze complex financial reports. Manage the school/center's operating accounts, as well as gifts, endowments, grants, research and discretionary funds. Maintain and track faculty and staff salary distribution payroll. Monitor all departmental expenses. Oversee school/center's purchasing, accounts payable, payroll activities, financial reports and budget analysis. Manages vendor relationships and develop payment systems for staff, faculty and student use.
Job Description
Coordinates daily financial and administrative operations (payroll, procurement, financial reporting, and budgeting) of assigned department portfolio to ensure adherence to generally accepted accounting principles, University standards, and stewardship.
Recommends and implements improvements that ensure SON financial operations will meet GAAP and Penn standards.
Prepares and oversees monthly reconciliation of general ledger reports for assigned portfolio ensuring that all monthly reports provide accurate and timely information.
Assists Director and Associate Director with gathering data for annual budget process and in analyzing same on findings to produce appropriate budgets for submission.
Assists with auditing department workflows to ensure compliance with University and federal policy and procedures.
Assists with implementing procedures and controls to maximize operational efficiency.
Assists with research, analysis and preparation internal and external reporting as requested, including but not limited to BEA-120&125, Schedule 990, Schedule F, etc.
Responsible for operational initiatives generated by Penn.
Acts as a liaison for the division with other University offices and represents the division at meetings, tasks forces, etc.
Job Responsibilities
  • Financial analysis, report preparation, financial presentation (i.e. account reconciliation, gift, endowment, operating, and discretionary reporting) on a routine basis as dictated by the accounting cycle, as well as in response to ad hoc requests.
  • Departmental budget preparation and ongoing budget management in support of assigned programs. This includes gathering data, analyzing (revenue, tuition and program budgets) and assisting with projections based on findings in order to produce appropriate budgets for submission.
  • Support of transaction processes, including audits and sign-off on transactions, and accompanying documentation, approval of purchase orders, in order to ensure adherence to the university's accounting policies. Recommend and implement improvements
  • Research and report of all variances providing specialized and/or projection reports as needed. Review, analysis, data interpretation and recommendation based on findings.
  • Assist with pre- and post-award support for sponsored projects.
  • Other duties and responsibilities as assigned
Qualifications
  • Bachelor of Science and 3 to 5 years of experience or equivalent combination of education and experience is required.
  • Must have excellent interpersonal and organizational skills, ability to prioritize and manage multiple projects with limited supervision, and demonstrated ability to work independently and as part of a team.
  • High attention to detail, accuracy and follow through required.
  • Strong computer skills with proficiency with MS Office required.
  • Knowledge of the following University systems for financial management is preferred: BEN Financials, Planning, Workday and Concur.
Targeted Pay Range: $50,000.00 - $70,000.00
  • This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
