Position Summary

The University of NewMexico Bookstore is seeking a highly motivated, experienced administrativeprofessional to join the team as a Unit Administrator 1. This position willreport to the Business Manager and will assist in the administration ofmultiple stores generating revenues in excess of $10 million annually. This position will beinvolved in all aspects of the daily operations of UNM Bookstores, includingpayroll, human resources, fiscal affairs, and administrative duties. Thisposition will also participate in budget and personnel planning, policydevelopment, and strategic decision making, and will be responsible forpurchasing and reconciling expenses according to department needs. Thesuccessful candidate must possess strong communication and organizationalskills and the ability to work independently with various teams to accomplishdivisional and departmental objectives.

The individual selected for this position will:

* Manage Bookstore HR functions, including payroll, student employment, and employee onboarding.
* Coordinate and track building maintenance and repairs in conjunction with UNM Facilities Management.
* Serve as main Bookstore purchaser and be responsible for maintaining a PCard and reporting expenses.
* Coordinate Bookstore’s annual physical inventory process and maintain inventory of office supplies.
* Assist with policy developments and revisions such as employee handbook and records retention.

Occasional holiday, weekend, and evening hours required.

Required Knowledge, Skills, and Abilities

* Ability to gather data, compile information, and prepare reports.
* Ability to analyze, develop, establish, and maintain efficient office work flow and administrative processes.
* Knowledge of human resources concepts, practices, policies, and procedures.
* Skill in the use of personal computers and related software applications.
* Organizing and coordinating skills.
* Ability to communicate effectively, both orally and in writing.
* Knowledge of supplies, equipment, and/or services ordering and inventory control.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
Minimum Qualifications

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 1 year of additional experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications
  • Knowledge of UNM HR and Student Employment processes and forms, including SPET, EPANs, EPAFs, and payroll adjustments.
  • Knowledge of computerized information systems used in financial and/or accounting applications. (e.g., Banner, LoboMart, Chrome River, UNMJobs)
  • Knowledge of university accounting procedures involving procurement, travel, and/or employment.
  • Skill in utilizing building security and lock systems and procedures.
  • Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
