The Collaborative Center to Advance Health Services (the Collaborative) at the School of Nursing and Health Studies is a mission-driven, passionate, inclusive team of interdisciplinary public health advocates, researchers, educators, and managers at the University of Missouri-Kansas City. We write, develop, and implement grant projects that support our overall mission - to advance health and wellness by bringing research to practice, supporting organizations through change processes, and providing high quality training and technical assistance to the healthcare workforce. In our work, technical assistance refers to the aid that we provide to healthcare practitioners and other professionals so that they are better equipped to implement evidence-based strategies and interventions. This aid is developed in the form of webinars, in-person trainings, educational materials, and so forth.

Job Description

ROLE DESCRIPTION
The professional in this position will serve as a project coordinator for federally funded grant projects in the Collaborative. This position will execute the day-to-day operational and administrative aspects of projects and should have excellent organization and communication skills. The professional in this position will need to be flexible, as the work often evolves and changes as priority areas emerge. For example, the person in this position may coordinate the moving parts involved in ensuring events go smoothly, handling the details before the event as well as the day-of logistics. The individual may support project teams, coordinating calls, taking notes, and following-up on action items. The individual may support the development of reports by collecting information from various sources, organizing data, and formatting documents for final submission. The work will be varied but will fall under the umbrella of supporting the leadership and teams on the project to successfully execute all deliverables.

KEY REQUIREMENTS
  • Experience in event planning and coordination for both in-person and virtual events of all sizes.
  • Capacity to successfully contribute to teams while also able to work independently.
  • Organized and detail-oriented with strong follow-up skills. Exercises sound judgment.
  • Adept at thinking strategically, analytically, and creatively. Excellent problem-solving skills, including the ability to identify challenges and research and recommend solutions.
  • Ability to work with multiple priorities and due dates using a project management calendar.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to work effectively with individuals with diverse cultural and educational backgrounds, and with a variety of personalities.
  • Flexible and willing to take on new tasks.
  • Tech savvy with experience in Microsoft Office and a knack for learning new software and technologies (e.g., Zoom Conferencing, Adobe Acrobat, Google tools, Salesforce).
KEY WORK TASKS
  • Coordinate and support logistics for virtual events, including meetings, webinars, and online learning communities.
  • Coordinate and support logistics for in-person events, including meetings, trainings, and conferences.
  • Communicate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives, government officials, and industry leaders throughout the planning process.
  • Locate resources, visit sites, and participate in pre-event meetings to help the team make decisions about event design.
  • With the support of senior staff, facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, transportation, equipment, decor, and marketing materials.
  • Maintain accurate records and collection of data, which may include, rosters, meeting notes, meeting attendance, survey results and other information needed for reporting and other purposes.
  • With input and support from senior managers, identify and engage subject matter experts in contracts, onboarding, and delivering educational offerings.
  • Research existing tools and resources to enhance educational offerings.
  • Partner with team members to create products, tools, and resources for the grant website.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills are acquired

Preferred Qualifications

  • Bachelor's degree in business administration, communications, education, public health, social work, nursing, or other social or behavioral sciences is preferred
  • Lived/living experience of, or knowledge of substance use recovery and/or peer recovery support services

Anticipated Hiring Range

$24.22 - $27.00 per hour commensurate with education, experience, and internal equity.
