About the Job

The Office of the Associate Dean for CLA Undergraduate Education (UGE) seeks a positive, dependable office professional to serve as the first point of contact for faculty, staff, and students who contact our office by phone or email. This administrative position will reports to the UGE Senior Administrator and will work across the advising and student services units in the college as well as UGE Administration to ensure coordinated high-quality service to students and staff. Responsibilities will include strategic administrative coordination for CLA's day-to-day operations and long-term goals, as well as provide project coordination; day-to-day communications; oversee, plan, and organize special events; and develop and design operational best practices. The ideal candidate will have proven skills interacting and communicating effectively across cultures, will be diplomatic and clear, and have strong interpersonal skills and maturity. This role will have limited remote options.

Duties and Responsibilities:

Operations for Office of UGE Associate Dean 15%

  • Maintain a professional and efficient office space in 115 Johnston Hall; including phone and e-mail inquiries (clauge@umn.edu), ordering supplies, day-to-day facility work orders, and key inventory.
  • Provide support for deliveries, appointments, interviews, and events.
  • Manage mail and packages.

UGE Administrative Projects 20%

  • Manage recurring administrative tasks, including Dean's List, Intercultural Development Inventory, etc.
  • Order and distribute name tags, business cards, and door signs for new UGE staff.
  • Create and distribute Welcome Bags to new employees.
  • Provide technology support for hybrid and in-person meetings, and support UGE Operations Coordinator in fulfilling technology needs across the unit.
  • Complete purchases for Associate Dean and Administrative 115 Team.
  • Schedule meetings as necessary for UGE leadership team members.
  • Assist with the planning and implementation of CLA Undergraduate Commencement, College Day, and other UGE-wide, CLA-wide, or University events.

Strategic Program Coordination for the Assistant Dean of Student Services - 25%

  • Create and edit correspondence, presentations, and other forms of communication to students, staff, and other stakeholders.
  • Develop agendas, research, and prepare materials for Assistant Dean leadership meetings and retreats.
  • Responsible for gathering and analyzing data, creating reports, and assisting with assessment for operations and decision-making.
  • Gather information at meetings/events for future action items, anticipate the needs of the
  • Assistant Dean based on upcoming meetings/events (be aware of relationship between meetings & topics), to prepare pertinent materials and agendas for meetings.

Project Management and Unit Coordination - 35%

  • Provide administrative operations and coordination to other team members who report to the Assistant Dean of Student Services.
  • Provide strategic administrative coordination for the Assistant Dean's team's projects, commitments, and calendar, by arranging meetings and prioritizing schedule appropriately.
  • Problem-solve by developing and implementing new administrative initiatives, processes, and workflows to align with University procedures and achieve unit priorities.
  • Assess effectiveness of current systems and procedures, and make recommendations for enhancements.
  • Develop and design operational best practices, and create systems for their implementation

Other Responsibilities, Professional Development, and Service (5%)

  • Demonstrate a commitment to ongoing social justice and racial equity work that identifies, challenges, and removes barriers to access at the individual, community, and system level
  • Engage in professional development to maintain knowledge of trends and best practices
  • Participate in CLA Undergraduate Education, College and University-wide committees, workgroups, and meetings as requested
  • Other duties as assigned

Qualifications

Required Qualifications:

  • High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
  • Demonstrated experience working effectively with individuals from diverse identities, cultures and communities.
  • Demonstrated organizational skills and a high level of attentiveness to detail and accuracy.
  • Demonstrated computer skills and experience in word processing, spreadsheets, email and calendaring applications.

Preferred Qualifications:

  • Experience working in an academic setting with several constituencies (e.g., faculty, staff and students, external contacts).
  • Experience with student services, office management, or program administration in a higher education setting.
  • Demonstrated evidence of strong problem-solving skills.
  • Excellent interpersonal skills, including a positive attitude and ability to work as a team player.
