Description

JOB PURPOSE: Assist with the development and oversight of a comprehensive co-curricular student activities and engagement program, including but not limited to Student Activities, Student Government Association, Fraternity and Sorority Life, and Club/Organization Management.

ESSENTIAL DUTIES:
Student Activities:

  • Serve as co-advisor to the Student Government Association (SGA), through officer training and retreats, elections, budgetary responsibilities, and payroll approval. In addition, will attend weekly Senate meetings, hold regular one-on-one meetings with executive members, and assist at all scheduled events/programs.
  • Assist in the implementation of signature, campus-wide events, including Hornet Days, Homecoming, Dell Beach Days, and Senior Class Events, aimed at engaging students within the UL community.
  • Manage event planning requests for student organizations including all documentation required (contracts, riders, food requests, etc.)
  • Serve as a resource for students and staff, planning approved and registered programs for the campus community.

Clubs/Organizations:

  • Meet annually with a representative from all registered organizations on campus to review the event management platform page and usage from the group, including assistance with budget and leadership transition. 
  • Oversee and manage the day-to-day operations for all registered Student Clubs and Organizations. This includes managing the campus engagement platform, including roster updates, event registration processes, and officer/advisor training.
  • Plan annual officer and advisor trainings aimed at assisting with transition and turnover related to recognized organization operating procedures.
  • Coordinate the club and organization fair for fall and spring semesters

Fraternity/Sorority Life:

  • Serve as the primary advisor to the Interfraternity Council (IFC) and National Pan-Hellenic Council (NPHC), scheduling meetings with chapter leadership as needed/appropriate throughout the week, month, and semester, as well as attending all council meetings.
  • Meet regularly with chapter advisors, national headquarters staff, and area advisors both virtually and in-person, keeping them up to date with the status of campus chapters.
  • Develop process to access risk management as it relates to chapter events and activities, such as Greek Week, Greek Olympics, Formals, and other annual traditions.
  • Oversee hazing prevention programming and awareness on an annual basis.
  • Assist in the planning and organization of programming and educational opportunities including, but not limited to council retreats, council/chapter transition, officer trainings, Presidents Council, risk prevention/harm reduction, hazing, alcohol and other drugs, new member experience, social justice, sexual assault prevention and accountability.
  • Track and Report chapter data including community service hours, grade reports, and chapter health analysis, and present critical feedback, recommendations, and recognition as appropriate

Other Duties:

  • Coordinate and maintain social media pages for the Office of Student Activities and their student organizations. 
  • Analyze feedback/assessment using the event management platform and other survey opportunities, making recommendations as appropriate, for clubs and organizations.
  • Serve on University committees as interested, appropriate and/or requested.
  • Perform any other related duties as may be required.

Qualifications


ORAL OR WRITTEN REQUIREMENTS: Excellent English language oral and written skills needed for effective communication in individual and large group presentations. Excellent reading comprehension and writing abilities. Good mathematical skills for budget preparation. Familiarity with Google and Microsoft Office is preferred.

WORKING CONDITIONS: The functions of this position are usually performed sitting, but may involve significant amounts of walking or standing. Some amount of stooping, kneeling, bending, lifting or carrying may be required. The normal workday is from 9 a.m. to 5 p.m., with considerable hours worked each day beyond the normal workday, as well as nights and weekends may be required. As schedules for programs and events may occur after 5p.m. and on weekends, schedule will be adjusted accordingly.

MINIMUM EXPERIENCE: The preferred candidate will have one to three (1 to 3) years in student activities or leadership programming, with experience in supervising graduate and undergraduate students. Previous experience in clubs/organizations, student government, fraternity/sorority life, and/or student center operations is preferred. Knowledge of student development theories and current practices is desired. Availability to work nights and weekends, when needed, to ensure a quality student experience is an expectation for the position.

MINIMUM EDUCATION: Master's degree in student personnel administration, higher education, or related field is required.
