Job Description Summary:
The Office of International Programs facilitates the inbound and outbound activity at the medical center including program development, international educational experience for learners, petitions for work authorization and more. There is a plethora of support work that this position could do for the team and to ensure great customer service to our community. The coordinator is an entry-level position and will support identified needs and functions of the Office of International Programs. The team seeks a person who is able to follow directions, who is able to take and apply feedback and constructive coaching who can build on knowledge through on-the-job training and experience and who can progress to autonomy while supporting the functions of the office.
Job Description:
Required Qualifications
Education: Associate degree in Humanities, Liberal Arts, Business Administration, Education, or related field. Professional experience may be substituted for education on a year-for-year basis.
Work experience:
Experience coordinating multiple tasks simultaneously and manage competing and shifting priorities as evidenced in work history.
Experience interacting effectively with diverse students, Exchange Visitors, physicians, administrators, and other professionals.
Experience handling and maintaining confidential records as evidenced by application materials.
Computer experience that includes Microsoft Office Suite.
Strong communication as evidence by application materials.
Preferred Qualifications
Work Experience:
Administrative experience in an office, medical college, or university setting.
Knowledge and sensitivity to international employee's needs including staff, scholars, and their families.
Skills:
Strong organizational skills.
Demonstrated cross-cultural sensitivity skills, including establishing and maintaining effective relationships with diverse people groups.
ESSENTIAL RESPONSIBILITIES AND DUTIES
Support of OIP
Monitor OIP inbound programs and international programs general email address. Ensure emails are answered and go to the appropriate advisor for a response when needed.
Submit GOS reviews and immunization reviews for new visa requests
Draft invitation letters, verification letters and help complete related letter requests
Help update and create new RedCap forms
Assist in making website updates
Support the Associate Director
Manage records and files which includes creating paper files for each program and visa status and scanning documents
Monitor RedCap and document new visa request submissions
Create files for new visa requests and perform document checks
Update OIP materials i.e. apartment list, guides, etc.
Ensure non-KUMC visa sponsored employees are registered with OIP and their visa details are updated in Workday as well as monitored and recorded within OIP
Assist with scheduling appointments and meetings which includes initial check-in and follow up appointments
Support the Program Manager
Filing documents
Scanning documents (scan/label/route/file)
Help with updating the databases
Help with in-person events / set up and clean up
Assist with making Workday updates to the passport and visa page
Assist with invoice creation and fee transfers for H-1B and J-1 cases as well as check issuance for H-1B cases
Support the International Partnerships and Programs Coordinator
Moving files in Outbound folders into Perceptive Content
Printing PR Materials/Cutting/Mailing/Hanging
Making Folders
Send reply of IIRP/Obs. Inquiries
Making certificates and getting signatures, esp. presenter certificates
Cleaning out Agreement binders (move expired to Expired binder)
Taking DHL to the dock
