Description:

This position supports the College's operational needs in numerous functional areas by providing administrative and project support. The coordinator's primary responsibilities are to manage the scholarship administration process and college/department special events and meetings. The coordinator will liaise with the Office of the Vice Chancellor for Advancement and work closely with college stakeholders to promote university-wide and college engagement programs and identify opportunities for special engagement within the college (such as reunion years, anniversaries, and other special occasions and points of interest).
Duties & Responsibilities:

  • Scholarships - Manage the college’s scholarship award process. Gather college & department-level scholarship information, solicit nominations, staff the scholarship selection committee, notify awardees, and work closely with OVCA Stewardship and Donor Relations team, awardees and donors on stewardship efforts as appropriate. Collaborate with college business office, advancement, and other staff to provide information on the process, including fund balances and award details.
  • Meetings and Events – Coordinate the preparation of local college meetings and special events, including pre-planning, on-site event management, and post-event follow-up with attendees and vendors. Produce support materials for college advisory board meetings; record and organize board minutes; support engagement of board members and execution of board initiatives. Serve as primary contact to OVCA for timely information on upcoming events and activities. Provide input for events related to invitation lists.
  • Engagement Initiatives – Plan and manage local college and departmental activities with external and/or internal constituencies, for activities such as tours, classroom speaking engagements, lectures, and other special initiatives.
  • Coordination - Collaborate with staff in the college and OVCA to help create an efficient and seamless partnership to advance the mission of UIC, the college and OVCA. Participate in engagement activities organized through the OVCA. Serve as primary liaison between the college/unit and UIC OVCA. Disseminate OVCA reporting on alumni and donor engagement and stewardship progress and impact to college leadership. Serve as point of contact to OVCA for giving days and other special efforts where coordination, communications and information from colleges is vital to success of the program.
  • Corporate/Community Partners – Collaborate with senior director of development, OVCA Corporate & Foundation Relations and Stewardship & Donor Relations teams, and college faculty/staff to ensure communication, management and stewardship activities are executed with corporate and/or community partners, as appropriate.
  • Communications – Work with college communications staff, Office of the Vice Chancellor for Strategic Marketing and Communications staff, and OVCA communications team to help support and/or utilize web and e-communications software to execute communications in support of college priorities, including newsletters and event invitations.
  • Best Practices - Coordinate with other units to maintain best practices in all areas of support. Support the maintenance of accurate alumni and donor information in the database. Build professional and cordial relationships with internal and external stakeholders for the purposes of furthering the advancement efforts of the college.
  • Perform other related duties & participate in special projects as assigned.


Minimum Qualifications Required:

  • Bachelor’s degree.
  • Minimum of three years of professional experience.
  • Demonstrated success in project management.

  • Experience working with diverse constituencies.
  • Demonstrated interpersonal skills to develop and maintain effective professional work relationships.
  • Excellent verbal and written communication skills.
