Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources.

Minimum Qualifications

Position Summary
This is an administrative position primarily performing the support functions for a team of project coordinators in University Housing. The position will collaborate closely with project coordinators, contributing to the successful planning and execution of projects while ensuring they remain within the established budget constraints. Additionally, the project support specialist will be involved in facilitating enablement activities including the implementation and training for new mechanical, electrical, and plumbing (MEP) systems. Work entails accurately estimating project costs and playing a role in incorporating newly constructed projects related to building maintenance, furniture replacement, mechanical and plumbing upgrades, and various renovation and renewal projects.

  • Ability to work collaboratively within a team and adapt to changing project requirements.
  • Knowledge of construction techniques and construction administration.
  • Knowledge of mechanical, electrical, and plumbing (MEP) systems.
  • Knowledge of the basic principles, techniques, and practices of the various trade crafts.
  • Ability to follow instructions and to interpret and work from drawings, blueprints, and other specifications.
  • Proficient in the use of technology including Microsoft Office, email, budget management, estimating, and construction software.
  • Proven ability to establish and maintain effective working relationships with colleagues, supervisors, and administrators.
  • Ability to work independently, support projects, and manage multiple priorities.
  • Ability to communicate clearly and concisely in writing and verbally.
  • Strong analytical skills and attention to detail.

  • Cost Estimation: Collaborate with project coordinators to accurately estimate the costs of various projects, considering factors such as materials, labor, equipment, and other resources required. Utilize industry-standard estimation tools and methodologies to provide reliable cost projections. Collect and organize estimates from third party partners on current and future projects.
  • Project Budgeting: Assist project coordinators in developing and managing project budgets, ensuring alignment with the annual project budget of approximately $10 million. Monitor project costs and highlight discrepancies to support effective budget control.
  • Resource Analysis: Analyze project requirements and identify necessary resources, including materials, labor, and equipment. Collaborate with the Facilities Maintenance Division and procurement teams to obtain accurate pricing information from suppliers and vendors.
  • Invoice Management: Assist project coordinators with purchasing activities, including sourcing materials and supplies. Additionally, help in processing invoices related to project expenses while ensuring accuracy and adherence to budgetary guidelines.
  • Collaborative Planning: Work closely with project managers to identify project scope, objectives, and requirements. Participate in project planning meetings to provide insights on cost implications and budget considerations.
  • Communication: Effectively communicate estimated costs, budget constraints, and resource requirements to project managers, team members, and other stakeholders. Present complex cost-related information in a clear and understandable manner. Create a library of training materials for our facilities team.

  • Documentation: Maintain accurate and organized documentation of cost estimates, budget allocations, and related project information. Ensure that all estimations and cost records are up-to-date and easily accessible.
  • Enablement Activities: Assist in the implementation and training for new mechanical, electrical, and plumbing (MEP) systems. Provide guidance and support to facilities maintenance in adopting new technologies and processes following project completion.
