Job Summary :

The Associate Registrar acts as a strategic leader for the Office of the Registrar and works closely with the University Registrar to perform strategic planning, budgeting, problem solving, business process design, and infrastructural decision-making.

This role is responsible for researching and drafting campus-wide policies and procedures to ensure compliance with university policies, state and federal regulations and provide service to students.

This position builds partnerships with the schools, colleges, and programs and synthesizes information gathered to design and streamline efficiencies and to ensure policy and regulation compliance in the areas of curriculum management, degree audit, transfer credit articulation, and graduation processes.

This work includes coordination of the vetting process to gain feedback from stakeholders and constituents in the academic units and other campus constituents that will be directly impacted by new or changing policies or procedures.

The Associate Registrar utilizes an advanced-level of discretion and both deductive and inductive thinking to address campus-wide initiatives including launching degree audit software and developing related business processes, standardizing and centralizing the transfer credit articulation process across the schools, colleges, and programs, and strategizing systematic evaluation and continuous improvement plans for catalog, curriculum management, graduation processing, degree audits, and transfer credit evaluation.

This role provides strategic direction and supervision for a team that is responsible for curriculum management, catalog, transfer evaluations, prior learning assessments, degree audits, milestones, graduate research tracking, graduation processing, and related services.

  • This includes hiring, coaching, and evaluating staff on performance expectations, resolving employee grievances and initiating disciplinary actions;
  • overseeing duties performed by staff to ensure that work performed is in accordance with administrative policies and procedures;

training new staff on work routines and procedures, and accountability for quality and quantity of work performed by supervisees.

Reporting directly to the University Registrar, this role is part of the Registrar Executive Leadership Team, serves as the lead campus representative on the CU-systemwide transfer credit and degree audit module teams, and has the authority to act on behalf of the University Registrar.

Supervision Received : Reports to the University Registrar

Supervision Exercised : Supervises one to two full-time university staff members

Key Responsibilities :

Leadership and Strategy - 50% :

  • Recommends strategy to the University Registrar to create and implement policies, continuous improvements, data analysis, reporting, and procedures in support of the students, faculty, staff, and administration.
  • Represents the University and Registrar’s Office on campus committees as well as University-wide committees.
  • Manages strategic staffing and leads a team of registrar professionals.
  • Attends meetings with and on behalf of the University Registrar.
  • Leads operations in the areas of curriculum management, catalog, transfer evaluations, prior learning assessments, degree audits, milestones, graduate research tracking, and graduation processing.
  • Coordinates change management and the vetting process to gain feedback from stakeholders and constituents affected by new or changing policies or procedures.
  • Provides strategic direction in assigned areas and is responsible for the execution process.
  • Collaborates with the CU Denver Registrar’s Office leadership, CU system staff, and staff at CU Boulder and UCCS for policies and processes that utilize shared software or business-processes, paying special attention to inseparable components between CU Anschutz and CU Denver.
  • In collaboration, with the University Registrar this role will be responsible for policy creation / editing, strategic planning, budgeting, problem solving, business process design, and infrastructural decision-making.

Curriculum Management and Catalog 20% :

  • Provides strategic direction as departments consider outcomes of changing courses and programs.
  • Using advanced and holistic higher education knowledge and policy awareness, works with course coordinators, Financial Aid, and Bursar to understand current curriculum management processes, assess needs and opportunities, and synthesize gathered data to strategize and implement support structure for course inventory, class scheduling, degree and program requirements, and the University catalog, to ensure proper tuition rates and fees are assessed.
  • Creates and maintains internal and external standard operating procedure documents and training materials and assists with training for the course coordinators.
  • Analyzes class schedules prior to and throughout the registration period to identify data elements required for compliance with appropriate policies, guidelines and / or procedures, and proper billing, and actively generates and follows up on appropriate requests for missing or incorrect information.
  • Diagnoses issues with the CU-SIS Curriculum Management module and CourseLeaf software and coordinates the resolution process.
  • Creates, updates, and tests all system-enforced prerequisites, corequisites, and restrictions.
  • Performs testing of software upgrades for the CU-SIS Curriculum Management module.
  • Reviews and processes course and program edits in the CourseLeaf (CAT) catalog and (CIM) curriculum management software.
  • Reviews and approves individual catalog edits made by catalog editors.
  • Coordinates, edits, and publishes the annual university catalog, ensuring accuracy and completeness.

Degree Audit and Transfer Credit Oversight 15% :

  • Using strategic and collaborative leadership, works with schools, colleges, and programs to establish, implement, and maintain degree audit and transfer credit articulation policies, software, and procedures.
  • Supervises one or more professional staff responsible for encoding degree requirements and creating and maintaining accurate degree audits and transfer credit articulations.

Graduation Processing Oversight 15% :

  • Works with schools, colleges, and programs to understand current graduation requirements and procedures, assesses alignment with University and professional accreditation requirements, and synthesizes gathered data to create a support structure that ensures accurate and timely degree conferral.
  • Reviews diploma orders, pricing, and invoices to ensure alignment with timelines, budget considerations and reconciliation, and account for contractual obligations with vendors.
