The Division of Graduate Studies is a strategic unit at UCSC; working closely with academic divisions and departments, the Division of Graduate Studies leads the campus effort in graduate student outreach, admissions, and matriculation. JOB SUMMARY
Under the direction of the Assistant Dean, the Data and Systems Analyst will provide analytical reporting support to the Dean and other officers of the Division of Graduate Studies, and complete special projects as assigned or undertaken on own initiative.

Salary Information: Salary Range: $65,000 - $75,000 / Annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
70% - Data Management
  • Manage analytical and reporting projects of the Division of Graduate Studies to ensure that reporting goals and deadlines are met. Such projects might include: Design and development of databases, spreadsheets, and reports as requested by the Dean or other officers of the Division of Graduate Studies; Analysis and reporting of data from electronic data sources for Division of Graduate Studies, and campus units - including analyses of Graduate Division's budget, facilities, employees, students, and instructional activities.
  • Specific tasks may include development and analysis of data for studies on student recruitment, admission and retention, along with student success factors; unit finances; program effectiveness; program planning and review.
  • Become informed on issues of importance to the Division of Graduate Studies and perform high-level analysis. Define problems, independently conduct research as necessary, formulate solutions, make recommendations. Undertake fact-finding and analysis; assist in the preparation of reports, correspondence, visual presentations, and other materials.
  • Oversee and facilitate flow of information between and among Division of Graduate Studies, Institutional Research and Policy Analysis (IRAPS), Budget Analysis and Planning (BAP), and other campus offices, and external agencies on a variety of issues, including confidential matters. Ensure that deadlines are monitored appropriately and informational reports are received from relevant units in a timely manner.
  • Research, analyze and compile necessary daily back up and detailed briefing materials to support the Graduate Division, including pertinent facts, data, and other background information as necessary for meetings, reports, inquiries, agendas and presentations.
  • Maintain familiarity of data workflows and policy to perform data audits.
  • Special data clean-up projects, for example back-filling Work Experience fields, facilitating data feeds to Office of the President and other UC campuses and union posting requirements.
  • Independently exercise judgment in bringing information and issues relating to Graduate Division to the attention of the Dean and Graduate Division leadership, apprising them of actions taken on time-sensitive issues and reports as they occur.
  • Document processes; create and maintain system and business process documentation.
  • Provide training and documentation to Academic Divisions and department staff on data tools needed for self-service data reporting.
  • Assist the Reporting Analyst in gathering reporting needs from academic departments, writing report specifications and developing reports for internal and campus-wide use.
  • Participate on UC wide and internal committees.
20% - Systems Support
  • Test quarterly system patches and modifications in the Academic Information System (AIS).
  • Apply business processes to manage and reconcile batch and manual records in the campus' Academic Information System (AIS), including batched student milestone loads, and expected graduation term updates. Identifies, evaluates, and develops augmentations or new procedures as needed.
  • Troubleshoot processes, determining if reconciliation is needed, designing and implementing a solution with current and future milestone implementation/changes requested by academic departments.
  • Test data loads for accuracy and compatibility with data tools.
  • Other duties as assigned.
10% - Special Projects
  • Complete special projects as requested by the Dean or Assistant Dean.
REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Knowledge of data management systems, practices and standards.
  • Knowledge relating to logical data design, data warehouse design, data integration or the management of web content or other unstructured data.
  • Ability to prepare simple data models under guidance of more senior professionals.
  • Strong analytical and design skills, including the ability to abstract information requirements from real-world processes to understand information flows in computer systems.
  • Ability to represent relevant information in abstract models. Critical thinking skills and attention to detail.
  • Demonstrated ability to work with others from diverse backgrounds.
  • Demonstrated effective communication and interpersonal skills. Demonstrated ability to communicate technical information to technical and non-technical personnel at various levels in the organization.
  • Self-motivated and works independently and as part of a team.
  • Demonstrated problem-solving skills. Able to learn effectively and meet deadlines.
  • Strong organizational skills.
PREFERRED QUALIFICATIONS
  • Familiarity with important types of data models such as logical / relational models, dimensional models and document models.
  • Intermediate knowledge of relevant rules and regulations.
SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.

  • Ability to work long periods of time at a computer with or without accommodation.

  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Will be required to work a hybrid work schedule, days of the week and number of days to be determined, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel to multiple work locations on and off campus.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
