Office of the Registrar areas of responsibility include: contributions to policy development and implementation; participation with the Academic Senate's Committee on Educational Policy (CEP), Committee on Courses of Instruction (CCI) and Graduate Council (GC) in curriculum, course, and program approval; academic advising and degree audit support; functional processing oversight of the Academic Information System (AIS) and other systems including Campus Curriculum and Leave Planning (CCLP), Curriculum Approval and Tracking system (CAT), Coursedog and 25Live for classroom and event scheduling; classroom scheduling and advocacy for renovations; enrollment and fee assessment; grading and transcripts; graduation and diplomas; maintenance of student academic record integrity; preservation of permanent student academic records; enrollment reporting and data analysis; protecting the privacy of student academic records; certification of veteran student education benefits; and determination of legal residence for fee purposes.

JOB SUMMARYThe Business Systems Analyst - Academic Advisement, under the direction of the Associate Registrar and in coordination with the Degree Audit Reinvigoration and Renewal Project, is responsible for reporting on and coordinating student records and advising system functionality for the UC Santa Cruz campus. The incumbent applies business process and analysis concepts and department / unit and campus policies and procedures to resolve a variety of business process problems. Works on business process issues of limited to moderate scope where evaluation of processes, procedures and data requires analysis using a variety of factors.
The Business Systems Analyst - Academic Advisement serves as a liaison from the Office of the Registrar to other academic and administrative departments, including Information Technology Services (ITS).The lead responsibility is development and maintenance of degree audit functionality through facilities built into the student information system (Peoplesoft) and related applications. Translates catalog requirements for over 150 degree programs into systems that provide students and advisers self-service tracking for degree progress, milestones, and exceptions. This includes design and annual modification, regular audits, and user testing to preserve the integrity of the system and its data. Related systems duties include analysis and development of new functionality; monitoring and ensuring data integrity, updating security roles, and updating academic structure.
Additional primary responsibilities include ongoing communication and collaboration with advisers and curriculum leads in academic and administrative departments, including: developing ongoing training materials and sessions, process documentation, and policy clarification to the advising community. May also provide systems support for curriculum management, enrollment services, student academic history and academic planning, transcripts, evaluations, archiving, reporting and report writing.
In this role, the incumbent maintains knowledge of industry best practices and works collaboratively with campus entities and other AIS process managers to maximize the effectiveness of student records, advising and degree audit functionality within AIS and associated systems, and to uphold electronic security and the privacy of student records. The Business Systems Analyst upholds UCSC's Principles of Community and the UC Standards of Ethical Conduct. The position currently offers the flexibility to be either partially or fully remote.

JOB DUTIES- 40% - Applies business analysis concepts to analyze, understand, and validate functional business requirements of curriculum and student information systems to meet end-user requirements. Interprets policies and processes in order to optimize degree audit coding for general education, university requirements, and undergraduate degree programs. Applies applicable business processes and industry standards in order to meet student and adviser needs.
- 20% - Identifies, evaluates and develops limited to moderately complex systems and procedures. Executes unit integration and acceptance testing according to developed plan. May participate in cross-functional teams to address business process or systems issues.
- 15% - Assists with project plan development and end user documentation. Gathers and analyzes student and requirement data to prepare business process and procedural documentation. Assists with implementation of changes in development, maintenance, system standards and in the creation of specifications.
- 15% - Supports additional processes and analysis supporting campus degree planning and audit requirements. This may include development toward transfer credit review and articulation, exception coding, course setup, or other curriculum functions.
- 10% - Helps develop basic user interface designs. Provides support on new applications.
REQUIRED QUALIFICATIONS- Bachelor's degree in related area and / or equivalent experience / training.
- Demonstrated ability to work with others from diverse backgrounds.
- Intermediate knowledge of related areas of IT.
- Demonstrated problem solving skills. Experience and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture.
- Demonstrated oral communication and interpersonal skills to effectively collaborate with diverse groups and individuals at all levels within the organization Ability to communicate academic and technical information in a clear and concise manner to both technical and nontechnical audiences.
- Writing skills sufficient to compose clear, informative and persuasive communications in the form of correspondence, reports, training materials, and documentation. Understanding and skill in documentation standards for business processes and systems requirements.
- Self-motivated, Ability to work independently on technical projects as well as on a team of professionals and departmental decision-makers. Able to learn effectively, balance multiple priorities, and meet deadlines.
- Technical skill to implement detailed test plans and followup applications. Demonstrated ability to monitor systems and troubleshoot applications on an ongoing basis,
- Experience creating and delivering reports from large relational database management systems.
PREFERRED QUALIFICATIONS- Experience with degree audit functionality Peoplesoft Campus Solutions or similar academic or large institutional information systems,
- Experience in educational setting; familiarity with academic advising, curriculum planning, student records, or student support service needs or concepts.
- Experience with writing SQL Queries, PS Query, Business Objects (or similar reporting tool)
