University of California Merced is Hiring a Remote Admin Officer

Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $65,300-$118,300. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $65,000- $80,400.

Job Closing Date

Remote/Hybrid eligibility: This position will be hybrid with a majority onsite presence of around 3 days per week.

About the Job

Reporting to the CADE Executive Director, this position serves as their principal advisor. Responsible for CADE academic and event planning, as well as managing administrative services and support for students, staff, and faculty associated with CADE. Establishes strategic goals, operational objectives, and work plans and delegates assignments to students, staff, and faculty related to CADE planning and operations. Responsible for preparing, administering, and directing resources, including budget and instructors. Reviews and approves recommendations for CADE events and academic programs. Monitors CADE adherence to approved budget.

KEY RESPONSIBILITIES

  • In collaboration with the CADE Executive Director, performs strategic academic planning and coordination of resource issues, including program planning, space planning, and budget planning. Applies advanced concepts to perform analysis to determine future resource allocations on events and programs. Plans all CADE operations, including data analysis, policy development, and administrative leadership for CADE events and academic programs. Serves as key advisor to the CADE Executive Director and students, staff, and faculty associated with CADE.

  • Responsible for providing analyses for budgetary, financial, and resource projects. Generates, analyses, and reconciles SoE CADE financial / personnel reports monthly and identifies discrepancies in reporting. Works with appropriate School and Central office colleagues to resolve discrepancies. Consults with the CADE director and SoE Sr Assistant EAD/COS regularly to discuss accounts/funds and planned usage, projects, and allocations. Independently prepares complex spreadsheets (using advanced formulas, functions, and techniques) to design and develop analytical summaries and maintain spreadsheets for tracking purposes. Develops financial models. Makes recommendations on maintaining and strengthening internal controls to protect University resources. Interprets related policies and advises the Director accordingly.

  • Makes decisions on operational matters and ensures achievement of operational objectives (processes, academic personnel, research grants administration, human resources, IT and space planning) that have impact on CADE. Serves as key administrative leader and manager for CADE, oversees analysis, planning, and policy development for issues and processes. Provides guidance and expertise on developing techniques and processes for CADE events and academic programs.

  • Manages, plans, and administers a range of administrative operations. Supervises and directs the activities of students, staff, and faculty associated with CADE. Represents the CADE Executive Director as needed to various constituents and stakeholders throughout the University.

Qualifications

EDUCATION and EXPERIENCE

  • Bachelor’s degree in Business Administration, Finance, Economics, or related area. (Required)

  • Education/experience equivalent to an MBA or related master's degree preferred. (Preferred)

  • Three years of directly related, progressively responsible experience in an administrative operations job function, or a combination of education and experience as outlined. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Substantial experience with academic planning and management in a research for higher education institution.

  • Demonstrated management experience with proven ability to analyze, interpret and apply good management and business principles, practices and techniques.

  • Demonstrated organization, assessment, problem solving, negotiation and decision-making skills with expertise in clarifying and resolving conflict situations and developing attainable goals and procedures.

  • Excellent oral and written communication skills, with proven ability to understand and interpret complex materials and to formulate and present oral and written material in a logical and comprehensive manner.

  • Strong interpersonal, leadership, and supervisory skills, with a proven record of working collaboratively while achieving outcomes.

  • Proven ability to function effectively in a diverse, ever-changing, and unpredictable environment. Proven ability to maintain confidentiality in sensitive situations.

  • Demonstrated ability to project budget costs, coordinate multiple projects, adapt programmatic objectives to changes in resources, and establish priorities as affected by budgetary issues.

  • Demonstrated experience in financial and accounting systems, including modeling, forecasting, and planning. Experience locating, identifying, analyzing and synthesizing large quantities of data, identifying needs and developing recommendations.

  • Proven ability to manage crisis situations and effectively facilitate and resolve conflicts.

  • Working knowledge of principles of shared governance.
