Distinctive curricula in an international, culturally diverse supportive learning environment prepare graduates for life and leadership in an increasingly interconnected world.Position Description Summary/PurposeThis position provides a variety of administrative support for the day-to-day operations of the Human Resources & Community Culture Department. Responsibilities include greeting visitors in a friendly and professional manner, answering phones, generating letters and reports, creating and maintaining spreadsheets, calendar maintenance and scheduling HR events such as meetings, training sessions, job fairs, etc. This is a full time 12 month position that requires you to work on campus in Bridgeport.
Essential Job Functions/Primary Responsibilities(The essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.)
  • Work collaboratively with the HR Manager to provide recruiting needs to the UB campus which includes:
    • Pre-screens of candidates
    • Reference calls
    • Posting positions
    • Tracking recruitment efforts
    • Scheduling interviews
  • Responsible for monitoring the main line to HR to answer frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff. Checks the HR voice mailbox and email regularly and handles messages as appropriate.
  • Provides administrative support to HR department which includes ordering supplies, intake of workers compensations documents as needed, opening and distributing mail, compiling orientation packages, process invoices and maintain vendor files.
  • Assists in the onboarding process by helping with I-9 verification, greeting new hires, uploading documents such as transcripts into Paycom and emailing supervisors the proper checklists.
  • Updates and maintains University organizational charts.
  • Responsible for creating and distributing the HR monthly newsletter.
  • Assists with planning and execution of special events such as benefits enrollment, employee recognition, employee engagement and organization wide meetings.
  • Process and track documentation for Universities Tuition Remission Program.
  • Assists the HR Manager in the processing of Exit Interviews working with IT and campus security to return appropriate equipment.
  • Participates in administrative staff meetings and attends other meetings and seminars as requested.
  • Performs other duties as assigned.
  • Conducts all work in a safe manner and all work safety practices are followed.
Other Functions
  • Performs similar or related work as required, directed or as situation dictates.
  • Continues professional development and training; keeps current with trends.
  • Assists other department staff as needed to promote a team effort.
QualificationsKnowledge, Ability and Skill:
  • Demonstrated commitment to developing and fostering best practices and policies to promote diversity, equity, and inclusion, and build an environment in which all members of the University community are treated with respect and dignity.
  • High level of proficiency in Microsoft Office (Excel, Word, PowerPoint, Visio) as well as Teams and Zoom
  • Strong written and verbal communication skills (including phone etiquette)

  • Ability to perform detailed work quickly and with accuracy
  • Effective relationship management at all levels of the organization
  • Excellent organizational and interpersonal skills and attention to detail
  • Ability to maintain a high level of confidentiality and adherence to HIPPA and other related federal, state and University employment law guidelines
  • Must be flexible and able to multitask in a highly productive environment
  • Demonstrated ability to exercise initiative, independent judgment and be a self-starter while also being collaborative and a strong team player
Minimum Required QualificationsEducation, Training and Experience:
  • Bachelor’s degree required
  • 1-3 years’ relevant work experience
  • Must demonstrate high level of proficient in Microsoft Office
  • Knowledge of Ellucian Colleague and Paycom systems preferred
