University of Arkansas for Medical Sciences is Hiring a Department administrator Near Bentonville, AR

Summary of Job Duties

The Department Business Administrator is a key member of the NWA Administration & Finance team, overseeing all business operations of the department.

This position is responsible for ensuring the efficient management of financial accounts, including restricted and unrestricted funds, as well as Foundation funds.

The Business Administrator is also responsible for procurement processes, including strategic sourcing of goods and services.

Additionally, this role oversees salary distributions and effort allocation for employees and serves as the main point of contact for the use and management of Foundation funds.

The Business Administrator also conducts research and analysis to identify variances and reports them to the Department Director.

Qualifications :

Minimum Qualifications :

  • Bachelor's degree in business administration, finance, or related field.
  • A minimum of four (4) years of experience managing financial operations within a similar role.

Knowledge, Skills, and Abilities :

  • Requires advanced knowledge of Excel, Word, Access and PowerPoint.
  • Must demonstrate the ability to work independently.
  • Must have the ability to manage a wide range of duties with a high level of organization and efficiency.
  • Excellent communication and interpersonal skills.
  • Knowledge of office management.
  • Must have the ability to interact and develop positive working relationships with a diverse group of professionals at all levels within the organization, and community.
  • Must be able to maintain confidentiality of all functions in the office.
  • Flexibility to adapt to changing priorities and initiatives.

Preferred Qualifications :

  • Master's Degree in Accounting, business administration, finance, or related field.
  • Experience with foundation funds.

Additional Information :

Key Responsibilities :

1. Financial Management :

  • Oversees all business operations of the department.
  • Develops and manages the department's annual budget for annual budget hearing.
  • Manages and reconciles financial accounts, including restricted and unrestricted funds, Foundation funds.
  • Prepares monthly variance reports, and other reports requested by the Department Director.
  • Serves as an expert in procurement processes and procedures.

2. Procurement :

  • Leads monthly procurement meeting with department requisitioners to troubleshoot issues and discuss processes and procedures.
  • Communicates effectively with buyers to strategically source goods and services.
  • Stays updated on industry trends and market developments.

3. Employee Management :

  • Manages salary distributions and effort allocation for employees.
  • Ensures accurate and timely payroll processing.
  • Provides guidance and support to employees on any financial-related matters.

4. Foundation Funds :

  • Serves as the main point of contact for the foundation funds.
  • Collaborates with foundation staff to ensure successful grant management.

5. Variance Analysis :

  • Conducts research and analysis to identify variances.
  • Reports findings and recommendations to the Department Director.
  • Collaborates with other departments to identify and implement cost-saving measures.

6. Accounts Payable :

  • Leads accounts payable activities and serves as the main point of contact for the department.
  • Ensures accurate and timely processing of invoices and payments.
  • Collaborates with the finance team to resolve any financial discrepancies.
