ADMINISTRATIVE ASSOCIATE

The University of Alabama at Birmingham (UAB) seeks an Administrative Associate for the Health Policy and Organization department and will serve as the department's primary contact. The department has 21 faculty members, 32 staff members, and doctoral and graduate students.

Key Duties and Primary Responsibilities:

  • Handles calendar for the Chair of Health Policy and Organization
  • Handles travel bookings and reimbursements for Chairmen
  • Provides general upkeep of the Department of Health Policy and Organization
  • Process requisitions, purchase orders, and travel reimbursements for the department
  • Responsible for the department space allocation reporting along with the Program Director III
  • Monitors and supports Health Policy and Organization student travel awards, including communication with students, travel, and reimbursement.
  • Submits contract agreements that are used for department-level meetings or needs
  • Maintains and stores department supplies, handles bookkeeping related to the Department of Health Policy and Organization on Oracle, and performs P-card reconciliations
  • Manages department equipment and supplies inventory and requests. Maintains designated resource rooms and places service calls to address equipment malfunctions
  • Solve internal office system problems and liaise with other departments, agencies, and vendors regarding routine administrative and office activities
  • Submits required School of Public Health marketing requests to update the department's website
  • Monitors departmental space and equipment and coordinates individual moves and equipment accounting according to established procedures.
  • Process travel reimbursements for external members.
  • Organizes the itinerary and all travel arrangements (flights, hotel bookings) and ensures everything is in place for Visiting Faculty Candidates who visit UAB to explore the campus
  • Escorts event Guests, Visiting Faculty Candidates, and Visitors to meetings on campus
  • Handles all purchase orders, catering requests, vendor invoices, establishing and vendor setup, processing payment requests, and travel reimbursements related to events
  • Maintains vendor contact lists
  • Coordinates with IT and ensures the setup is complete and operational for large audio/video meetings
  • Perform other duties as assigned

Hourly Salary Range: $18.35-$29.80

Qualifications

Bachelor's degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience.
