United Way of Odessa is Hiring an Office Administrator Near Odessa, TX

Overall Purpose:

Perform various administrative duties in support of the organization.

Participate as a collaborative member of the organization's team, providing assistance where needed to ensure that the administrative needs of the entire organization are met.

Coordination of reception services, serving as the organization's primary receptionist.

Provide courteous and sensitive Customer Service to both internal and external guests, donors and agencies.

Answer incoming calls and direct callers to the appropriate department and/or community resource.

Ability to handle confidential materials in a discreet, professional manner without compromise.

Maintain a positive people approach

Seek out work to be done; work independently and as part of a team.

Serve more than one customer at a time in an efficient and positive manner; work under pressure, deadlines, and time constraints.

Set up and manage paper or electronic filing systems, recording information, updating paperwork or documents, such as attendance records, correspondence or other material.

Set up, manage and interact with Board of Directors for monthly meetings; coordination of meetings, preparing agendas and materials, reserving and preparing facilities as needed, orders food/beverages and sets up.

Provide data entry and administrative support for the United Way Campaign as well as other departments.

Maintain donor database

Maintenance of Campaign records

Assist with invoicing duties

Assist with special events

Daily USPS mail trip

Update and complete daily logs

Apply postage to daily outgoing mail

Assist with the creation and mail out of multiple mailers.

Arrange service calls when needed.

Track inventory and seeks consent to purchase

Manage and refill kitchen and bathroom supplies

EXPERIENCE

Experience working with diverse populations and stakeholders preferred

High level of written and oral communication skills

Proficiency with Microsoft Outlook, Word and Excel required

Experience with Database Entry is a plus

Experience with Copy Machine, Fax and Filing required

Bilingual Preferred

High School graduate or its equivalent

Two years office experience, preferably in a secretarial/administrative capacity

Ability to read and write properly
