Summary of Essential Functions:
  • Expedites and facilitates the efficient training program to all new employees within Patient Access. Maintains and updates all training material to ensure new processes and procedures are correctly documented.
  • Works with staff on changes to ensure proper training and acknowledge of the functions required.
  • Required to be knowledgeable of hospitals policies and procedures, Joint Commission standards and HIPPA Privacy Practices as related to the Patient Access department.
  • Performs and manages routine and detailed coordination functions within the department.
  • Meets deadlines with prompt, thorough approach, with ability to prioritize various requests and complete duties as required.
  • Provides ongoing support, leadership and expertise through mentoring and assessment of Physical Therapy registration employees and Specialty Clinic registration employees.
Educational Requirements:
  • High School Diploma or equivalent.
  • Associates degree preferred.
  • Must be able to communicate effectively in English, both verbally and in writing
Certification/Knowledge/Skills/Abilities:
  • Minimum of two years essential experience in the Admission Department.
  • Ability to communicate effectively and courteously.
  • Demonstrate patience, tact, diplomacy and persistence in daily contact with all customers.
  • Performs effectively under stress to meet deadlines.
  • Must have the ability to organize, prioritize work according to written or verbal instructions using organizational skills and sound judgment.
  • Ability to listen and display professionalism and confidentiality.
  • Ability to type sixty wpm for computer data entry ensuring correct spelling and grammar.
  • Flexible hours, according to the needs of the department.
  • Ability to work under pressure and stress.
Duties and Responsibilities:
  • Ensures that highest possible customer service is delivered to both internal and external customers. Proactively approaches dissatisfied customers and implements customer service recovery measures to satisfy displeased customers.
  • Responsible for maintaining current knowledge of registration, insurance, and collections guidelines, to serve as a resource for staff, physician offices, clinical and non-clinical departments.
  • Responsible for conducting ongoing management and staff training programs to ensure competency requirements are met for all job functions, including but not limited to: Training competencies of the Eclipsys application based on job function. Training competencies of customer service type program based on job function. Training competencies of business processes: insurance plans/contracts, online insurance verification, collection practices and others as identified. Training competencies of other Patient Access supported applications such as: document imaging (POSC), document printing (MEDEX), procedure estimating spreadsheet, online benefit verification (Recondo) and other future applications.
  • Participates in the ongoing maintenance and revision of the Patient Access Education Program, including but not limited to, updating training documents to reflect current business processes, updating training documents to reflect policy and procedure changes and updating training materials to encompass application functionality due to upgrade or enhancements.
  • Responsible for administering and scoring competency test for new hires. Performs random quality audits to ensure staff competency and establishes training plan to correct deficiencies. Deficiencies are documented and reported to manager.
  • Assists the hiring manager in completing all necessary system access request forms for newly hired employees to ensure appropriate system access for job function.
  • Demonstrates a high level of flexibility, commitment and availability to the department needs. Completes special assignments completely in a timely manner. Is quick to assist with needed projects/special circumstances.
  • Shares on call duties with Admitting Leaders and Manager.
  • Completes review of all Patient Access registration errors and department productivity to complete monthly department scorecard. Analyzes and identify trends within those reports to develop department training needs.
Coordinator functions:
  • Manage department staff for Physical Therapy registration and Specialty Clinic registration staff, including hiring, scheduling, training, evaluating performance and competency, and conducting disciplinary/counseling as needed according to hospital polices/procedures
  • Provides leadership for day-to-day operations of the department, ensuring operating efficiency and continuity of care
  • Participates in performance improvement (i.e. follows established work systems, identifies deviations or deficiencies in standards/systems/processes and communicates problems to manager and/or director)
  • Coordinates staffing schedules, approves/denies time-off requests according to guidelines, completes payroll entry and provides staffing coverage as needed
  • Monitors quality and accuracy of registrations and assists with quality assurance audits and reports. Assists in trending data and assists manager to resolve/fix errors i.e. duplicate MRN, incorrect data elements, etc
  • Performs all other tasks/responsibilities as necessary.
