Union EAP is currently looking for a General Administrator to join our team. This position is a combination of in-person (Scottsdale, AZ) and remote. Since we are a start-up company, it is important that the person in this position is initiative-taking, energetic, and able to manage multiple tasks over a tight deadline.

Job Title: General Administrator

Position Overview: We are seeking a versatile and meticulous General Administrator to join our team and provide essential support across various administrative functions. This role will play a key part in ensuring the smooth operation of our organization by managing a wide range of administrative tasks with efficiency and professionalism. The ideal candidate will be highly organized, adaptable, and able to prioritize competing demands in a fast-paced environment.

Responsibilities:

  • Recruitment and Onboarding: Coordinate the recruitment process from job posting to candidate selection, including sourcing candidates, conducting interviews, and facilitating the onboarding process for new hires.
  • Employee Maintenance: Maintaining personnel files and assisting with benefits administration.
  • Employee Relations: Serve as a point of contact for employee inquiries, concerns, and grievances, providing guidance and support to ensure a positive work environment.
  • Performance Management: Support the performance management process by assisting managers with goal setting, performance evaluations, and performance improvement plans as needed.
  • Training and Development: Coordinate and facilitate training programs for employees on topics such as diversity and inclusion, harassment prevention, and professional development.
  • HR Policy Development: Assist in the development and implementation of HR policies and procedures, ensuring alignment with organizational goals and compliance with legal requirements.
  • Administrative Support: Provide administrative assistance to multiple departments, including scheduling meetings, managing calendars, and handling correspondence.
  • Communication: Serve as a point of contact for internal and external stakeholders, answering phones, responding to inquiries, and directing messages to the appropriate parties.
  • Document Preparation: Assist with drafting and formatting documents, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Travel Coordination: Arrange travel itineraries and accommodation for staff members, including booking flights, hotels, and transportation as required.
  • Financial Administration: Assist with basic financial tasks such as processing invoices, tracking expenses, and reconciling accounts.
  • Event Coordination: Support the planning and execution of company events, meetings, and conferences, including logistics coordination and attendee management.
  • General Assistance: Provide broad support to team members and managers as needed, taking on ad hoc tasks and projects as assigned.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Proven experience of at least 5 years in an administrative role, with exposure to a variety of tasks and responsibilities.
  • SHRM certification or willingness to become SHRM certified
  • CEAP certification or willingness to become CEAP certified
  • Experience working at a start-up or a fast-moving company is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage competing deadlines effectively.
  • Strong attention to detail and accuracy in all work activities.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Strong interpersonal skills and the ability to build positive relationships with employees, managers, and external partners.
  • Knowledge of employment laws and regulations, including FMLA, ADA, FLSA, and EEOC guidelines.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Adaptability and flexibility to changing priorities and responsibilities.
  • Positive attitude, initiative-taking approach, and willingness to learn and take on new challenges.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.

Salary/Compensation:

Starting at $25 an hour or $52,000 annually and up depending on experience.
