Job Description

We’re looking for a Manager, Exhibits and External Events to work with one of our large clients on operational aspects supporting US commercial, customer-facing Exhibits and Conferences including all customer-facing meetings (Advisory Boards, Speaker Trainings, Symposia, etc.). This position's objective is to provide strategic and logistical management for all marketing- related activities at meetings, conventions, and customer-facing events across the portfolio of brands and therapeutic areas of interest. Responsibilities include strategic development and consulting, as well as maintaining cross-brand operational capabilities for all aspects of medical meetings, customer-facing meetings, convention logistics (exhibits, sponsorships, lead generation, digital assets, and local displays) for Marketing, Sales and Medical. This individual will ensure that our client’s image and brands are positively represented at conventions, customer-facing events, and that all meeting objectives are met. Our ideal candidate will be extremely self-motivated, driven, committed and a dedicated team player.

Successful candidates will have the following: 

  • Minimum of 5 years in hospitality, project management, marketing, meeting planning or related function in the pharmaceutical or healthcare industry.
  • 2 years of tradeshow, conventions, or meeting planning experience.
  • Ability to communicate with all levels of an organization. From the first impression on, you have a professional presence, the ability to own the room and convey confidence.
  • Skilled in project management and solving problems. You excel at managing multiple priorities at once and are adaptable. You are calm under pressure and work well in a collaborative environment.
  • Ability to establish long lasting, professional relationships with stakeholders, co-workers, and vendors alike.
  • Proficiency in Cvent, Excel and Microsoft Office Suite.
  • Ability to learn/navigate proprietary software
  • Elevated level of comfortability with Microsoft Teams conference software and/or Zoom
  • Strong understanding of pharmaceutical guidelines and regulations
  • Vendor management experience
  • Highly organized
  • Strong verbal and written communication skills
  • Ability to travel 35% of the time and on weekends (actual travel varies)
Preferred Qualifications: 
  • College Degree (Associates Degree or Higher)
  • Budget management and analytical skillset
  • Understanding of Pharmaceutical promotional review process (PRT, CMLR, MRL, PRC, etc.)
  • Experience with conflict resolution
  • Certifications preferred: CTSM, CEM, HMCC, CMP, CMP-HC, DES

To Note: 

  • This is a remote position. The individual in this role may be required to go onsite to our client’s headquarters in Lexington, MA regularly for team meetings, and events.
  • This role operates in the Eastern time zone.
  • Covid vaccination may be required to travel for this role.

What you would be doing: 

  • Manage the logistical elements of Exhibits/Conference functions including contracted vendors/staffing, stakeholder requests, resource requirements and other meeting needs as directed.
  • Manage the logistical elements of external meetings such as Advisory Boards, and Speaker Trainings, including compliantly sourcing venues, vendors, stakeholder requests and other meeting needs as directed.
  • Provide direction, assigns tasks, fosters teamwork, and assures positive results for stakeholders related to contracting, planning, logistics and execution of all U.S. activities. (exhibits and conferences and customer-facing meetings)
  • Serve as a strategic consultant and subject matter expert to brands to integrate and enhance their overall strategy and tactical plans, particularly for customer-facing meetings and conventions.
  • Maintain a high level of cross-functional coordination, strategic planning, budget adherence, customer service and creativity in managing and executing all aspects of meetings and conventions for Marketing / Sales & Medical.
  • Collaborate across internal and external stakeholders to drive operational efficiencies as well as capitalize on synergistic cross-brand/functional initiatives and cost savings opportunities particularly in the areas of customer-facing meetings and conventions.
  • Manage and coordinate across external vendors/stakeholders (exhibit house, brand AORs, medical societies, alliance partners, etc.) to ensure strategic alignment, message consistency, timely deliverables and compliance with SOPs related to interactions with HCPs (Healthcare Providers) at customer-facing meetings.
  • Own brand specific convention-related and customer facing strategy/tactics; and see these tactics from initial concept and development, through the meeting lifecycle, to final implementation.
  • Provide support and strategy around compliance governed activities and leverage their knowledge of the pharmaceutical compliance environment and adhere to policies and guidelines set forth by the company.
  • Ability to navigate ambiguity and change, while moving projects forward and meeting expected deadlines.
  • Partner with brands to find savings opportunities with their meetings and convention/exhibits budgets.
  • Lead logistics meetings (virtual or in person) with key stakeholders and partners.
