UMOM New Day Centers is Hiring a Generalist - People Operations Near Phoenix, AZ

Hiring Salary Range: $48,000 - $52,000 DOE

About UMOM New Day Centers: Founded in 1964, UMOM is Arizona's largest provider of services for families experiencing homelessness. Our mission is to end family homelessness by restoring hope and rebuilding lives. With an annual operating budget of $20 million dollars, UMOM provides shelter, supportive services, and housing programs to families and individuals experiencing homelessness in Maricopa County. UMOM serves over 15,000 unique individuals across all our services annually, including those families receiving support at the Family Housing Hub, Maricopa County's family coordinated entry system.

Position Description: This position is responsible for providing support in all areas of the People Operations Department, including but not limited to Employee Benefits, Leave Administration, Compliance, Employee Engagement, Employee Relations, Personnel Files, HRIS Management, Learning and Development. This position is essential in providing the first line of support for employees and leadership throughout the organization. This role requires a high level of integrity, initiative, strategic and innovative thinking as well as the ability to work in a fast past, changing environment both autonomously and as part of a team.

Essential Duties and Responsibilities:

General Talent Support

  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Provide excellent customer service and act as the first point of contact to employees and external partners for all HR related queries this includes: greeting employees, answering phones, and providing general information and employee support.
  • Act as the liaison between People Operations and employees, ensuring smooth communication and prompt resolution of requests and questions.
  • Assist with the sourcing and coordination of training.
  • Manage the People Operation Inboxes.
  • Works with the Recruitment Coordinator to assist with employee onboarding and new employee orientation, ensuring that new hires are set up for success immediately when starting with UMOM.
  • Maintain and place orders for shirts, business cards, name plates, name badges, etc.
  • Manages employee all aspects of employee offboarding, including but not limited to: issuing notices, collecting employee's equipment and materials, etc.
  • Perform other duties as assigned.

Benefits

  • Assist with planning and implementing Benefits Open Enrollment.
  • Handle data entry required for open enrollment and new employee benefit enrollments.
  • Assist with benefit research and analysis to ensure that UMOM is offering an up to date and rich benefit package that meets the diverse needs of UMOM employees.
  • Assist with reporting related to benefit renewal and compliance.
  • Assist in the implementation and management of employee leave requests.
  • Assist with the reporting, management and at times investigation of workers' compensation claims.
  • Assist with the regular promotion and employee education around benefits offered at UMOM.
  • Assist with the development, implementation, and promotion of wellness initiatives.
  • Ensures compliance with all regulations & adherence to professional standards related to benefit administration.

Employee Relations

  • Assists with employee relations issues, using the highest level of professionalism and confidentiality when dealing with sensitive information.
  • Documenting, when necessary, employee relations concerns with a high level of detail
  • Performing employee stay and exit interviews and disseminating aggregated reports on interview results.
  • Assists with incident investigations as requested.
  • Exercising sound judgement in elevating employee relation concerns when appropriate.

Compliance

  • Ensure compliance related records and files are organized, secured, properly recorded, and stored for all current and new employees.
  • Perform regular (e.g., weekly, monthly, quarterly, annually, etc.) audits to ensure that all employee certifications are obtained, renewed, and recorded in a timely manner.
  • Complete all necessary and mandated reporting for grants, compliance, and legal requirements and assist in preparing for and responding to routine reviews/audits.
  • Manage personnel files.
  • Provide assistance with compliance reports, presentations, spreadsheets, and word documents
  • Provide feedback to organization about regulatory and internal policy requirements
  • Reviews, tracks and documents compliance with trainings.
  • Conduct training and promote compliance awareness, when necessary, on regulatory and internal policy requirements.

Administration

  • Maintain and update the HRIS system
  • Assist with policy and handbook development, review, and maintenance.
  • Process new hires, terminations, and other status changes in a timely, efficient manner.
  • Work with the Recruitment Coordinator to assist with employee onboarding and new employee orientation, ensuring that new hires are set up for success immediately when starting with UMOM.

Qualification and Competency Requirements:

Experience and Education

  • Bachelor's Degree in Human Resources, Business Administration, or related field preferred
  • SHRM-CP or PHR, preferred
  • High school diploma or GED required
  • Minimum of two years of human resources experience required with a general working knowledge of HRIS, Benefits Administration, Compliance (including FMLA, ADA, WC) and HR policies.
  • Knowledge of the non-profit sector; experience working with underserved or disadvantaged populations preferred.

Computer Skills

  • Excellent computer skills with strong proficiency in Excel, Word, PowerPoint, Outlook, Human Capital Management and Applicant Tracking Systems (Knowledge of iSolved HCM a plus)

Compliance

  • Ability to pass all required background checks. Including but not limited to: AZDPS Fingerprint Clearance Card and DCS Central Registry.
  • Valid AZ Driver's License and a driving record that falls within UMOM's policy.
  • Ability to pass a pre-employment drug screen. This position is considered a safety sensitive position.

  • This position is typically performed in an interior, environmentally controlled office setting. The duties of the job require extended periods of time being stationary and manipulating a computer (keyboard, monitor, mouse), and other standard office equipment including, but not limited to printer, calculator, copier, telephone, and associated computer/technology peripherals.

Work Schedule: The typical schedule for this position is Monday-Friday, in office, normal business hours, with occasional nights and weekends, depending on the needs of the position and the organization.
