DESCRIPTION

The Department of Medicine (DOM) is the largest department within the UCSD School of Medicine and is responsible for fulfilling the teaching, research, and clinical missions of the University of California San Diego School of Medicine. The Department of Medicine employs approximately 500 salaried faculty, 168 academic appointees, 331 residents, fellows and postdocs and 480 staff personnel.

Under the supervision of the Division Administrator, the incumbent will participate in the management, planning, and administration of operations for the Infectious Disease, Global Public Health, and Owen sections. Incumbent will perform short- and long-term planning as it relates to academic and staff affairs, clinical scheduling, financial planning, space management, and process improvement. Academic affairs include processing annual academic reviews, faculty/academic recruitments, among other duties. Clinical scheduling includes creating and maintaining the clinical schedules of about 40 providers and 5 inpatient services. Incumbent may report to a Chair, Director, or a higher-level administrator or manager depending on the needs of the project at hand. Incumbent may perform transactional administrative tasks, as needed.

Incumbent will use skills as a seasoned and experienced administrator to supervise staff and/or students. They will demonstrate good judgement in selecting methods and techniques for identifying solutions and process improvement at the Divisional level.

MINIMUM QUALIFICATIONS

  • Seven years of related experience, education/training, OR an Bachelor’s degree in related area plus three years of related experience/training.

  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.

  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.

  • Strong skills in short-term planning, analysis, problem-solving, and customer service.

  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.

  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.

  • Solid knowledge of common University-specific computer application programs.

  • Ability to use discretion and maintain confidentiality.

SPECIAL CONDITIONS

  • Occasional local travel and overtime.

Pay Transparency Act

Annual Full Pay Range: $74,300 - $134,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $35.58 - $64.42

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
