Position Summary:
The Department of Pathology & Laboratory Medicine at UC Irvine Health School of Medicine is dedicated to the diagnosis and understanding of human diseases through biomedical and clinical research. Using the latest technologies, our pathologists help advance medicine by finding better ways of diagnosing, managing and treating diseases.
The incumbent will collaborate with the Director of the UCI Center for Neurotherapeutics to take a contributing role in growing the Institute infrastructure with the responsibility to help meet the goals of the Center’s mission. Under general supervision of the Contract and Grant manager of Department of Pathology & Laboratory Medicine, incumbent is responsible for the financial pre-award administrative management of major federal, non-federal, and private contracts and grants as well as other extramural/Intramural funds that support various research activities of the Center. The incumbent will serve as an administrative assistant to the Director for matters pertaining to his administrative responsibilities for the Department of Pathology & Laboratory Medicine, and he/she/they will support the logistical needs of the Director’s research operations and lab program within the Department. In addition, the incumbent will lead the development and maintenance of the Center’s website and the La Spada lab website. This entails coordinating with various stakeholders on the organization and implementation of these websites. Lastly, the incumbent will be responsible for maintaining the Center’s master calendar, working with the Director, Associate Director, and other Center leadership, which includes coordination of a variety of administrative and Center events. The applicant must possess an experienced level of administrative and communication skills and must have a keen awareness of organization politics, tact, and diplomacy.

Required:
  • 4-6 years of experience required for this job
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
Preferred:
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge of common University-specific computer application programs.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
