TWU Career Site is Hiring a Facilities Management Generalist - Facilities Management & Construction - $36,548.00 annually Near Denton, TX

Provides generalist support for the area of Facilities Management & Construction (FMC) department business services components to include data gathering and input, budget analysis and reporting, and special projects as assigned. Generates and analyzes monthly budget summary reports, assists with projections and presentation of the same for departmental budget managers. Prepares specifications for good and services, creates departmental purchase requisitions and performs receipt and billing as needed. Assures accuracy and timely entry of costing and account assignments for departmental personnel and budget responsibilities. Responsible for creation of presentations and various reports as assigned. Work is performed with general supervision and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Assistant Manager, Facilities Business & Support Services
Supervises: No supervisory responsibilities
ESSENTIAL DUTIES - May include, but not limited to the following:
  • Responsible for assurance of budget availability and costing related to personnel transaction management, operational inventory, procurement and billing.
  • Assists with data gathering, budget analysis and reporting, and special projects as assigned.
  • Provides analysis and report generation.
  • Generates, provides, and records accurate and timely data and reports for projects or other departmental needs as assigned.
  • Creates requisitions for the procurement of goods and services as needed and responsible for electronic receipt of the same.
  • Assists with departmental procurement by providing support with communication with vendors and departmental staff, the gathering of quotes and bids, entering of requisitions, verification of funding availability, etc. 
  • Performs data entry for spreadsheets, reports, and systems as assigned.
  • Maintains electronic files for department using department and University standards and records retention schedule(s) as provided.
  • Responsible for tracking and proper archival of reports and presentations as assigned.
  • Assists with preparation and presentation of personnel training on standard operating procedures and quality assurance.
  • Assists with departmental budgeting transactions and annual requests, routine summary reports, analysis and projections as assigned.
  • Ensures accurate and timely processing of all forms, documents and requests.
ADDITIONAL DUTIES
  • Serves as a back-up for all functional areas of Facilities Business & Support Services as assigned.
  • Assists department with special events, assignments, and projects.
  • Performs other duties as requested.

High school diploma or equivalent required. Some college course and/or bachelor's degree in business administration, Accounting or related field preferred. 

Five years of accounting, bookkeeping, and/or budget management or related experience. 

A combination of education, job related experience, and training may substitute for the experience required. 

Experience working in a state or university environment preferred. MS Office certification preferred.

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.
KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:
  • Proficient PC skills using Windows, MS Office Suite, and ability to learn and use financial system, CMMS, and other software within a three (3) month period of employment.
  • Ability to organize, conceptualize and prioritize projects and objectives.
  • Advanced knowledge, skill and ability to operate MS Office Suite (Word, Excel, PowerPoint and Outlook).
  • Ability to pay strict attention to detail and be deadline-oriented.
  • Knowledge of and ability to apply budgeting and fiscal planning techniques within financial constraints.
  • Advanced ability to perform mathematical calculations and/or verify information accurately.
  • Ability to provide excellent communication along with problem-solving abilities to coordinate multiple projects simultaneously.
  • Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes.
  • Working knowledge of modern office practices and methods.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
  • Ability to represent the department and University in a friendly, courteous, and professional manner.
  • Ability to communicate effectively - orally, by phone, in person, and in writing.
  • Ability to respond to emergency situations in a timely manner.
  • Ability to use a personal computer, efficiently utilize MS Office Suite, have an understanding of database management and entry techniques and software, and be able to use and train others to use office equipment and software effectively.
