TITLE

Coordinator, Advising Support Services

JOB SUMMARY

The Coordinator of Advising Support Services is a member of University Academic Advising, a department that exists to advocate and support student success at Texas Woman’s University and advance undergraduate academic advising at the institution. The coordinator is responsible for managing academic advising technology, providing training and support for academic advisors, and representing academic advising at all stakeholder activities and committees involving technology. This position advises students during orientation and peak advising periods, manages advising data using multiple platforms, and resolves technology issues for academic advisors. The coordinator supports university advising staff projects, analyzes data, and develops reports, and uses data to promote retention, persistence, and degree completion initiatives. Work is performed independently under limited supervision and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policy & Procedures 

ORGANIZATIONAL RELATIONSHIPS

Reports to: Designated Academic Advising Administrator 

Supervises:May supervise Student Assistants 

ESSENTIAL DUTIES -May include, but not limited to the following:

  1. Coordinates technology for the department. 
  2. Manages web presence for the department.
  3. Provides support for academic advising technology related issues, problems, and requests.
  4. Provides advisor training on advising technology and university platforms (Colleague, OnBase, SQL, OnceHub, Student Planning, etc.) 
  5. Creates advising reports and maintain data on current and unenrolled students.
  6. Responsible for maintaining and archiving data for the department.
  7. Coordinates annual academic advisor awards program.
  8. Manages advisor assignments and creates advisor caseloads. 
  9. Collects and analyzes data to create reports for the department.
  10. Provides technical support to Early Alert.
  11. Resolves technology issues for academic advisors.
  12. Implements proactive measures to identify and resolve data issues. 
  13. Evaluates technology effectiveness and make recommendations for the department.
  14. Adds and removes academic advising holds.

ADDITIONAL DUTIES

  • Advises undergraduate students during registration, orientation, and other enrollment periods.
  • Participates in New Student Orientation, Transfer Orientation, and other designated recruitment/retention activities.
  • Serves on campus committees as assigned.
  • Assists with early alert, retention and academic recovery projects.
  • Performs other duties as requested.

EDUCATION

Bachelor’s degree required.

EXPERIENCE

Three years of higher education academic advising experience is required. Additional job-related experience and/or education may substitute for the required experience on a year-to-year basis. Experience creating and maintaining spreadsheets and reports using Excel, Google Sheets or similar. Experience working with Colleague, SQL reports, and OnBase. Experience developing and presenting workshops or training. Experience navigating Colleague and using advising mnemonics. Experience creating reports using Excel, Google Sheets, SQL and other tools for data analysis. Experience with academic advising, student success and retention initiatives.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

  • Ability to listen to the needs of academic advising and translate those needs into projects and reports.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Self-starter demonstrating initiative in a fast-paced higher education environment.
  • Ability to make independent decisions and take appropriate action, to work.
  • independently, and to follow through on assignments with minimal direction.
  • Ability to multitask and manage multiple priorities. 
  • Communicates effectively orally, by phone, in person, and in writing.
  • Proven analytical and problem-solving abilities, including ability to anticipate, identify, and solve critical problems.
  • Ability to use a personal computer and other office equipment, including related university software and email.

Employees are responsible for completing assigned tasks safely and efficiently, and supervisors are responsible for creating and maintaining a safe work environment. Employees must report any unsafe work conditions or practices, as well as any near-miss incidents, to their supervisor and Risk Management. Supervisors and employees should ensure that injury/accident reports are submitted to the Office of Human Resources and Risk Management within 24 hours of the incident.
