Job Title: Treatment Coordinator

Department: Finance

Reports To: Finance Manager

Job Summary: The Treatment Coordinator plays a pivotal role in ensuring effective communication with patients, facilitating treatment plan acceptance, and contributing to the financial health of the dental practice. The Treatment Coordinator enhances patient satisfaction, optimizes revenue through treatment plan acceptance, and fosters positive relationships between patients and the dental team. This position primarily serves patients seeking dental care and treatment.

Duties and Responsibilities:

1. Admin Mastery:

  • Proficiently schedule appointments and manage patient files, ensuring a seamless and organized process.
  • Document all patient correspondence, including calls, texts, and emails, using Dentrix software.
  • Read and understand procedure fees and adjustments, and allocate procedures and payments accurately.

2. Insurance Proficiency:

  • Demonstrate in-depth knowledge of dental terminology, procedures, fee structures, and insurance regulations.
  • Display expertise in insurance processing and billing to ensure accurate and timely financial transactions.

3. Treatment Planning:

  • Coordinate multi-step treatment plans and appointments for a comprehensive patient experience.
  • Educate patients on proposed treatments, detailing benefits, risks, and alternatives.
  • Ensure transparency in the cost of treatment and provide personalized discussions to support patients.

4. Treatment Acceptance and Sales Facilitation

  • Maintain professionalism in potentially sensitive discussions about oral health and treatment financing.
  • Highlight the importance of recommended treatments for the patient's oral health.
  • Employ effective communication skills to secure patient commitment to treatment.
  • Offer guidance and support in decision-making, addressing objections and concerns.

5. Scheduling Coordination:

  • Implement a systematic follow-up process to encourage treatment acceptance.
  • Coordinate with the front desk to secure suitable appointment times.
  • Ensure scheduling aligns with the patient's preferences and availability.

6. Patient Account Management:

  • Explain available payment options, including insurance coverage and financing.
  • Arrange payment agreements in accordance with office policy to provide financial flexibility for patients.
  • Collect payments from patients for treatment planned services.
  • Address patient billing inquiries and concerns.
  • Trace account balances and understand credit origins.

7. Documentation & Reporting:

  • Record details of treatment plan discussions, patient preferences, and payment agreements.
  • Provide regular reports to the Finance Manager on treatment plan acceptance and financial outcomes.

8. Professional Development:

  • Attend relevant training sessions or workshops to enhance knowledge and skills.
  • Stay updated on changes in dental procedures, insurance policies, and financing trends.

9. Patient Advocacy:

  • Serve as a liaison between the patient and the dental team to address any concerns.
  • Advocate for patients in navigating insurance processes and financing options.

Qualifications:

  • Bachelor’s degree in Business Administration, Health Administration, or a related field.
  • Proven experience in treatment coordination or related roles (2 years preferred).
  • Strong organizational skills, attention to detail, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Dentrix and Microsoft Office.
  • Knowledge of dental terminology, procedures, fee structures, and insurance regulations.
  • Competency in succinct grammar, vocabulary, and spelling to ensure clear and effective written and verbal communication.
  • 1 year of sales experience preferred.
  • Interpersonal effectiveness, with the ability to make patients feel at ease during potentially sensitive discussions about their oral health and treatment financing.

Pay: $20.00 - $25.00 per hour
