WHAT YOU'LL DO: This position interfaces with customers, suppliers, sales and plant personnel on a daily basis to facilitate an efficient, timely, and accurate order-fulfillment process and promote customer satisfaction. This position performs daily customer service and dispatch functions for the facilities including shipping, inventory control, and inter-company transfers and will perform daily data entry functions into MAS 500 for production and order processing transactions. Additionally, this position will receive and enter orders for products and coordinate all dispatch/transportation scheduling functions to ensure a timely and accurate order-fulfillment process. ESSENTIAL DUTIES & RESPONSIBILITIES: Answer incoming calls and direct to appropriate personnel. Establish and maintain an efficient dispatch schedule for deliveries. Call contract haulers and make delivery assignments as needed. Dispatch deliveries for optimum customer service levels. Generate pick tickets, delivery tickets, and maintain a silo tracking program. Enter all orders, daily transfers, materials received, and inventory counts into Sage MAS 500 on a timely and accurate basis. Reconcile inventory counts as needed. Maintain information in Sage MAS 500 to produce accurate reporting. Communicate with Corporate Office to make sure changes being made at the plant level will not negatively affect reporting accuracies. Scan completed and signed delivery tickets into OnBase. Sort and match pick tickets and delivery tickets daily, including tracking contract carrier tickets, and file. Provide customer service and support. Assist customers with questions concerning shipments and status of orders. Take phone, fax, and email orders for products. Coordinate with corporate departments (Human Resources, IT, Accounting, etc.) for submit all of forms to insure all records are accurately submitted. Work with sales personnel to maximize on-time deliveries and exceed customer expectations. Order, receive, and maintain office and safety supplies. Monitor and order/assist in ordering raw, related, resale, and miscellaneous materials. Maintain and enter data in the MPL Shared Drive for the dryer report & sieve analysis. Coordinate with Corporate Office to authorize the paying of bills to include matching invoices to BOL’s, verifying contract freight bills, generate purchase orders (POs) for all invoices, forward all information to A/P and maintain copies. Other duties as assigned by the Region Manager and/or Corporate Management Team. QUALIFICATIONS AND REQUIREMENTS: Solid working knowledge of PC environment including Microsoft Office applications (Word, Excel, Outlook, etc.) Excellent verbal and written communication skills.
