TSNE is Hiring a Property Manager Near Boston, MA

Responsibilities

The Properties Manager is responsible for managing all operations and programming for an assigned portfolio of nonprofit properties under TSNE across Boston and Cambridge. The Properties Manager maintains efforts to ensure a safe, sound, and well-maintained facilities operating to their maximum efficiency. The Properties Manager is also primarily responsible for overseeing all preventative maintenance activities in coordination with the Engineering team, tenant relations across the portfolio, as well as for supporting the property management team with other duties as needed. This position is also primarily responsible for work order administration and assistance across the portfolio.

Essential Functions

Property Management – 50%

  • Conduct condition tours of all assigned properties that includes common areas and tenant spaces, when applicable, on a regular basis.
  • Contract vendors to ensure ongoing operations of all properties under purview.
  • Manage tenant charges for assigned portfolio to be billed back.
  • Pay invoices related to the operation of the assigned portfolio such as janitorial supplies, phone services, and maintenance parts.
  • Place calls to the vendor as needed or as directed by the Director or Associate Director for repairs for the NPC and other properties.
  • Work with Properties Manager, Facilities and the Building Maintenance Technician to ensure proper maintenance of facilities including planning and scheduling of work and repairs across assigned properties as well as the NonProfit Center.
  • Execute Property Management tasks as assigned by the Director or Associate Director of Property Management.
  • Oversee the property operations via the Assistant Properties Managers of all properties in the assigned portfolio.
  • Oversee and assist in the work order systems for all properties by making sure issues are addressed in accordance with our Response Time Matrix, that tenants are updated as to the status of the work requested, and that work orders are closed out within the targeted response times. Follow up as needed through the completion of work orders.
  • Oversee and assist in administration of conference room reservations through Skedda platform for NPC & Link properties. Manage all invoice and payment administration associated.

Relationship Management and Customer Service – 25%

  • Participate in meetings across the assigned portfolio to communicate and discuss building related issues and gain feedback from tenants; plan for and follow up as needed.
  • Communicate to tenants regarding facility operational issues; Ensure timely resolution of such issues.
  • Maintain and foster strong relationships with our clients across the portfolio based on trust and respect.
  • Be the first point of contact for tenant issues that are escalated from department staff.
  • Proactively address potential tenant issues.
  • Communicate to our clients as appropriate with updates, concerns, etc.
  • Manage tenant move ins and move outs across the assigned portfolio.
  • Act as the representative for TSNE as well as our clients when representing the assigned properties.

Project Management/Other – 15%

  • Supervise, in coordination with the Assistant Properties Managers and Cleaning Maintenance Specialist, all trades, including cleaning and security personnel, working in the NPC and other assigned properties.
  • Serve as project manager for tenant fit ups and other construction in the NPC and other assigned properties as assigned by the Director or Associate Director, as needed.
  • Assist in the Conference Space operations of the NonProfit Center and the Link in coordination with the NPC Management Team.

Compliance – 10%

  • Maintain life safety, disaster recovery, and security plans for the NPC and across assigned portfolio.
  • Advise the Director and Associate Director of Property Management in developing life safety, disaster recovery, and security plans for the NPC and assigned portfolio as appropriate
  • Ensure tenant knowledge of safety and security plans and concerns.

Complete other tasks and projects related to the job, as needed.

  • At least five years of related experience including property management and program and events management.
  • Excellent analytical skill; Ability to apply principles, concepts, and practices concerning property facilities, utility systems, buildings, equipment and grounds.
  • Knowledge of buildings and equipment with ability to foresee problems, implement solutions and complete ordinary repairs in a timely manner.
  • Knowledge of applicable codes and regulations related to facilities and building system operations.
  • Able to assist proactively in identifying deficiencies, determining solutions and making recommendations for improvement.
  • Excellent interpersonal, verbal, and written communication skills.
  • Experience with Salesforce a plus.
  • Able to work independently with minimal supervision; Able to prioritize requests.
  • Results-oriented with a positive outlook, and a clear focus on providing high quality customer service while interacting with building tenants and visitors to the Center.

Physical Demands/Work Environment

The physical demands described for this position are that of a typical office environment. Reasonable accommodations will be made to enable individuals with disabilities to perform the functions. Ability to sit and/or stand for extended periods of time in front of a computer screen is an essential aspect of the position. There may be a need to lift and/or move materials or equipment.

Location: Work will be performed between our office located at the NonProfit Center at 89 South Street, Suite 700, Boston, MA 02111 and your home office. This position is required to be on-site at least four days per week and may require flexibility.

Schedule: This position is full-time at 37.5 hours per week and hours are flexible within reason.

Compensation and Benefits

Compensation: $88,825 annually, paid at $3,416.34/bi-weekly.
