Trio Rehabilitation & Wellness Solutions is Hiring a Medical Office Assistant Near Boerne, TX

As a Rehabilitation Front End Assistant, you will play a vital role in ensuring smooth operations and exceptional patient experiences within our rehabilitation clinic. You will be the first point of contact for patients, providing them with outstanding customer service and administrative support. Your attention to detail, organizational skills, and interpersonal abilities will contribute to the overall efficiency and effectiveness of our clinic.

Key Responsibilities:

  • Patient Reception: Greet patients warmly as they arrive at the clinic, ensuring a friendly and welcoming atmosphere. Manage patient check-ins and appointments promptly and accurately.
  • Referrals: Review, call, and document all attempts to schedule patients referred to the clinic for therapy. Communicate with the referring providers office any concerns related to the referral or the patients schedule.
  • Appointment Scheduling: Coordinate patient appointments, consultations, and follow-up visits in alignment with therapist availability and patient preferences. Utilize scheduling software effectively to manage calendars and optimize appointment slots.
  • Insurance Verification: Verify patients' insurance coverage and eligibility prior to appointments. Communicate effectively with insurance providers to ensure accurate billing and reimbursement processes.
  • Compliance: Track and upload all signed paperwork into patients chart to assure compliance with insurance regulations.
  • Administrative Support: Assist in maintaining patient records, including inputting new patient information, updating existing records, and ensuring data accuracy. Handle paperwork efficiently and securely.
  • Billing and Payment Processing: Collaborate with the billing department to process patient payments, co-payments, and insurance claims. Maintain confidentiality and integrity in handling financial transactions.
  • Patient Communication: Serve as a point of contact for patients, addressing inquiries, scheduling changes, and other concerns promptly and professionally. Communicate effectively with patients regarding appointment reminders and clinic policies.
  • Facility Maintenance: Maintain the cleanliness and organization of the reception area and waiting room. Ensure that clinic supplies, such as forms and informational materials, are stocked and readily available.
  • Team Collaboration: Work closely with physical therapists and other clinic staff to coordinate patient care effectively. Provide support to therapists as needed, including assistance with patient exercises or equipment setup.
  • Telephone Calls and Voicemails: Answer incoming telephone calls promptly and professionally, taking detailed messages when necessary and ensure they are delivered promptly to the intended recipients, and returning calls in a timely manner as necessary. Maintain confidentiality with sensitive information and assist with administrative tasks such as filing, data entry, and scheduling appointments.

Qualifications:

  • High school diploma or equivalent; associate degree or certification in healthcare administration or related field is a plus.
  • Previous experience in a healthcare or medical office setting preferred.
  • Proficiency in using computer software, including scheduling and electronic medical records systems.
  • Strong interpersonal skills and the ability to communicate effectively with patients and colleagues.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Understanding of medical terminology and basic knowledge of insurance processes.
  • Commitment to maintaining patient confidentiality and adhering to ethical standards.
