Office Manager position at a private mental health practice in Ashland, KY

Job Summary:

We are seeking a highly organized and detail-oriented Office Manager to join our private mental health practice. The Office Manager will play a crucial role in ensuring the smooth operation of our practice by overseeing administrative tasks, managing office procedures, and providing support to the clinical staff. The ideal candidate will have excellent communication skills, strong interpersonal skills, and a passion for supporting mental health professionals in delivering quality care.

Our office is a minority and LGBTQ friendly space. We are seeking someone who is compassionate, friendly, dependable, and ready for a fun and fast-paced environmen.

Responsibilities:

- Manage the day-to-day operations of the office, including scheduling appointments, coordinating patient intake, and managing patient records.

- Oversee billing and insurance processes, including verifying insurance coverage, submitting claims, and following up on outstanding payments.

- Maintain confidentiality and adhere to HIPAA guidelines when handling sensitive patient information.

- Manage office supplies and equipment, ensuring that inventory is stocked and maintained.

- Implement and maintain office policies and procedures to ensure efficient and effective workflow.

- Provide administrative support to the clinical staff, including preparing documents, maintaining files, and facilitating communication with clients.

- Handle inquiries and resolve issues from patients, referring professionals, and other stakeholders in a professional and timely manner.

- Collaborate with the management team to develop and implement strategies for improving office efficiency and patient satisfaction.

Qualifications:

- Proven experience in office management or a similar administrative role.

- Knowledge of healthcare administration, medical terminology, and HIPAA regulations.

- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

- Strong attention to detail and accuracy in handling administrative tasks.

- Proficient in using office software and electronic medical record (EMR) systems.

- Exceptional communication skills, both verbal and written.

- Ability to work independently and collaboratively in a fast-paced environment.

- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
