JOB SUMMARY:

The Front Desk Receptionist/Administrative Assistant provides general office and administrative support for the front desk and day-to-day executive operations, including various clerical activities and related tasks. This position will be responsible for all the activity of the front desk (answering incoming calls, directing calls to the appropriate team members, welcoming and receiving guests, employees, and visitors alike, providing customer assistance, data processing, and record-keeping and mail distribution) as well as assisting executive operations.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

Responsibilities of this position include, but are not limited to, the following:

Front Desk Operations:

  • Answers the central telephone system and directs calls accordingly. Transfers a caller to a team member’s voice mailbox when unavailable.
  • Greets and directs visitors to the company.
  • Takes and retrieves messages for various personnel.
  • Provides callers with information such as company address, directions to the various office locations, contact information, company website, etc.
  • Receives, sorts, and forwards incoming mail.
  • Prepares outgoing mail to include the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Assists with other related clerical duties such as photocopying, faxing, filing, and collating.

Administrative Assistant Operations:

  • Assists in carrying out various executive administration tasks, programs, and procedures for all company functions.
  • Book travel arrangements and submit and reconcile expense reports.
  • Write and distribute emails, correspondence memos, forms, faxes, and letters.
  • Organize and schedule appointments, meetings, events, and conferences.
  • Assist in writing and preparing recurring reports.
  • Maintain contact lists and act as a point of contact for internal and external clients.
  • Provide support to executive personnel and senior administration for requests of multiple managers as needed.
  • Order office supplies, catering, gifts, etc.
  • Research new suppliers and assist in company event planning.

REQUIRED EDUCATION AND EXPERIENCE:

  • Proficient in Microsoft Office suite of products (Outlook, Excel, Word, etc.).
  • Two (2) years of office/administrative support experience.
  • High School Diploma or GED.
  • Bilingual in English/Spanish.

  • Associates Degree

WORK ENVIRONMENT:

  • This job operates in an indoor professional office or job site environment. May work outside in heat/cold, wet/humid, and dry/arid conditions.
  • Employees may be exposed to fumes, airborne particles, moving mechanical parts, and vibration. The employee may occasionally be exposed to extreme conditions at various locations.
  • Employees will be exposed to moderate noise (i.e., business office with computers, phones, printers, and light traffic).
  • May be requested to work overtime, nights, and weekends.

PHYSICAL DEMANDS:

  • While performing the duties of this job, the employee is regularly required to talk and hear. This position is active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing throughout the day.
  • Must be able to move objects and use abdominal and lower back muscles to provide support over time without fatigue. Constant movement and use of limbs: This position requires good manual dexterity, coordination, and stamina.
  • Ability to wear company-approved Personal Protective Equipment per local, state, federal, or OSHA regulations.
  • The employee must frequently lift and move items of a minimum of 25 pounds.
  • Requires the ability to perform physical duties listed above for extended periods.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers/printers, filing cabinets, and fax machines.

TRAVEL REQUIRED:

  • Travel is primarily local, although minimal out-of-area and overnight travel may be expected.
