Trenholm State Community College is Hiring an AAESAP Data Entry Specialist Near Montgomery, AL

Position Summary

To collect, enter, and conduct quality control of all data elements essential for program documentation to meet the requirements of the National Reporting System (NRS) and to provide administrative, secretarial duties under the direct supervision of the Adult Education Director and the Dean of Community Engagement and Grants.

Essential Duties and Responsibilities

  • Coordinate the data reporting tasks of all the Adult Education instructors.
  • Receive, input, and process paperwork, ensuring items are submitted accurately and in a timely manner.
  • Collect and manage accurate data for program improvement and accountability.
  • Assist Director in training departmental employees on proper data entry procedures.
  • Analyze and prepare various data-based performance reports and submit them to Director monthly.
  • Complete TABE certification training.
  • Assist with student intake and orientation and TABE testing as needed.
  • Assist with the authoring, editing, proofreading, and preparation of a variety of documents.
  • Greet visitors and respond to their needs appropriately.
  • Answer a multi-line phone system and direct calls appropriately.
  • Maintain an up-to-date file system.
  • Maintain a high level of confidentiality.
  • Participate in recruitment and community outreach activities.
  • Assist in the retention and follow-up of students.
  • Type and transcribe letters, memos, and other correspondence or written documentation.
  • Participate in college and departmental meetings as directed.
  • Provide administrative assistance to a variety of projects, programs, and initiatives.
  • Attend and participate in professional development and training, including seminars, conferences, workshops, and other meetings concerned with the adult education program or related issues.
  • Alert supervisor of issues that need upper management attention.
  • Serve on campus committees as assigned.
  • Perform all duties with professionalism.
  • Perform all other duties assigned by the Director of Adult Education.

Qualifications

Required Minimum Qualifications:

  • A bachelor’s degree from a regionally accredited institution.
  • A minimum of three (3) years of office management experience.
  • Ability to utilize Excel or other database software (such as Access) to enter, format, sort and analyze information and prepare reports.
  • Ability to utilize Word or other word processing tools to prepare and communicate information.
DESIRED PROFILE:
Preference will be given to candidates who can demonstrate through their experience and accomplishments
  • Knowledge and understanding of the fundamentals of the Family Educational Rights and Privacy Act (FERPA);
  • Knowledge of generally accepted office practices and procedures, including records management;
  • Knowledge of common business processes;
  • Skill in operating a mouse to control a computer;
  • Skill in operating a computer;
  • Skill in utilizing a multi-line phone system;
  • Skill in operating printer, copy machine, fax;
  • Ability to work and communicate with a variety of people from diverse backgrounds
  • Ability to follow detailed instructions and adhere to prescribed routines;
  • Ability to document instructions;
  • Ability to make decisions based on correspondence, data or other information;
  • Ability to multi-task and prioritize issues;
  • Ability to proof and correct materials according to rules of grammar and business etiquette;
  • Ability to operate in high pressure situations and respond to issues in a calm manner;
  • Ability to manage "upward" to ensure the schedule and priorities of managers are maintained;
  • Ability to utilize email systems to communicate information;
  • Ability to work with minimal supervision/work independently;
  • Ability to operate in a professional manner at all times;
  • Ability to check/verify information;
  • Confidence in decision making and communication skills
