Job Summary: Tree Trust is seeking a Fleet & Facilities Manager to lead and manage the organization’s asset maintenance, procurement, and disposal program in collaboration with all applicable departments. This position requires regular contact with internal departments, finance, and vendors. The Fleet and Facilities Manager position will focus primarily on managing the organization’s tools, equipment, trailers, and vehicles, ensuring the reliability, safety, and proper maintenance of all assets.
Essential Functions:
Vehicles & Trailers
- Manages fleet inventory, including owned and leased vehicles.
- Manages the investigation vehicle and trailer issues, assessment of needed repairs and replacement parts, and determination and/or implementation of appropriate action necessary.
- Manages inventory, storage, scheduling of use and distribution of vehicles and trailers.
- Provides direction and guidance on DOT-regulated vehicle operations to include, annual license and registration renewals, endorsement verification, federally mandated training, equipment/vehicle inspections, and recordkeeping.
- Manages the lifecycle of the vehicles from acquisition to disposal and provides analysis to assist in making informed decisions related to fleet transactions.
- Manages the development and implementation of a comprehensive maintenance program to guide safe and economical fleet operations.
Tools & Equipment
- Manages the investigation of mechanical, electrical, and structural failures of tools & equipment, assessment of needed repairs and replacement parts, or full replacement, and determination and/or implementation of appropriate action necessary, including rentals or purchases.
- Manages purchasing, inventory, storage, scheduling of use and distribution of tools & equipment.
Facilities
- Manages the investigation of mechanical, electrical, and structural failures of buildings, assessment of needed repairs and replacement parts, and determination and/or implementation of appropriate action necessary.
- Maintains open communication with staff from other departments to ensure facility issues are identified and resolved in a timely manner.
- Consult with internal departments to ensure efficiency in facilities operations and optimum facilities usage.
Administration
- Manages and maintains a record-keeping system documenting warranties, records, licenses, inspections, service agreements, and contracts for all assets. This includes maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.
- Manages the development and dissemination of, and adherence to, policies and procedures which ensure efficient, effective, and safe use and maintenance of all assets.
- Manages fleet, facility and equipment vendors and suppliers.
- Produces monthly and/or ad hoc reports on fleet, equipment and facilities to inform short- and long-range planning.
Safety and Security
- Contribute to the safety committee to develop, improve, and implement work safety policies and procedures in compliance with federal, state, and local laws.
- Leads compliance efforts for OSHA, ADA, other Federal regulations and City, County and State building and fire code requirements.
- Develop and implement security procedures for all assets.
Required Qualifications/Skills:
- Requires 3 years of progressive hands-on experience managing either a fleet or facilities program with familiarity with both.
- Ability to pass a criminal background and motor vehicle records check.
- Hold/maintain CDL.
- Familiarity with procurement processes.
- Familiarity with developing, improving, and implementing safety policies and procedures.
- Track record of improved efficiency and decreased cost.
- Working knowledge of asset / inventory management systems.
- Working knowledge of maintenance procedures and general knowledge of industry regulations (e.g. EPA, DOT, OSHA).
- Working knowledge of all applicable buildings, life/safety, and fire protection standards and codes.
- Good interpersonal skills to establish and maintain co-worker relationships.
- Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Strong problem-solving and organizational skills with a focus on meeting deadlines.
- Excellent communication skills and strong leadership.
- Ability to manage multiple functions simultaneously in a fast-paced environment with minimal supervision.
- Ability to adapt to changing organizational and operational needs.
- Ability to bring clarity to complex issues and topics.
- Proficiency in Microsoft office Suite (Excel, Outlook, Teams, etc.).
Preferred Qualifications/Skills:
- Experience working for skilled trades or green industry businesses, especially tree care.
Work Environment: Job will require occasionally working outdoors in all types of weather conditions and exposure to elements. Constantly in proximity to heavy to moderate noise, moving equipment or machinery, electrical energy, and tools and machines used in tree care and landscaping industries. Job will also require constant work in an indoor office setting to include significant computer use.
Physical demands: Physical demands require constant moving, walking, stooping, kneeling, crouching, or crawling. Frequently operates machinery and will use hands/fingers and legs to operate, activate, use, prepare, inspect, place, detect and position materials. Repetitive use of hands, arms and fingers including handling tools/machines which vibrate, grip and swing tools using force. Frequently required to stand and walk, lift and/or move up to 50 lbs. Specific vision abilities required include close vision, depth perception and the ability to adjust focus. Constantly required to communicate with ability to talk and hear. Job will also include work in an office setting to include screen/keyboard use and sitting.
