Traverse City Area Public Schools is Hiring a DISTRICT: Administrative Assistant to the Curriculum & Instruction Department, starting immediately Near Traverse, MI

Bargaining Unit/Classification: TCCAPSA / VIIStatus: Hourly, Non-Exempt, Full-Year (250 work days 10 paid holidays)

Report to: Executive Director of Special Education

This position is within the Curriculum & Instruction Department currently located at the Boardman Administration Building. The work week will be split approximately 30 hours of Special Education Department support and 10 hours of Curriculum & Instruction Department support.

Placement on the wage schedule is based on years of public school experience. 

General Summary:

The Administrative Assistant to the Curriculum & Instruction Department coordinates the office activities and works under the supervision of the Executive Director of Special Education. 

Duties and Responsibilities:

  1. Performs administrative tasks and duties related to the Curriculum & Instruction and Special Education department.
  2. Answers telephone, notifies appropriate department personnel of messages and performs similar duties involving contacts with district personnel.
  3. Prepares and types correspondence such as letters and memos, reports, forms, etc.
  4. Works directly with Northwest Education Services (NorthEd) to ensure placement of Early Childhood Special Education (1754 and 1755) students consistent with district enrollment practices.
  5. Schedules, prepares agendas, takes minutes, and coordinates meetings. 
  6. Establishes, maintains and revises files.
  7. Opens, distributes or otherwise handles mail directed to the Curriculum & Instruction Department.
  8. Organizes and coordinates scheduling of personnel, facilities and equipment for in-services and other meetings.
  9. Compiles materials and information to respond to staff, parent and community requests.
  10. Creates purchase orders, orders, distributes and inventories materials for the Special Education Department and provides support to the Curriculum & Instruction Department for orders and distribution.
  11. Monitors and maintains the Special Education department budget and prepares budget reports as requested.
  12. Coordinates and distributes printing jobs for Curriculum & Instruction and Special Education Department. 
  13. Prepares mileage reimbursements and payment requests for the Curriculum & Instruction and Special Education Department. 
  14. Coordinates transportation for students who are ECSE, MICI, and for those who qualify for ESY.
  15. Performs other duties as assigned.

Education, Skills and Abilities Required:

  1. College degree and/or previous relevant work experience required.
  2. Advanced knowledge of computers and technology.
  3. Excellent organizational skills with emphasis on details and time management.
  4. Excellent public relations skills.
  5. Ability to deal with injuries.
  6. Knowledge of math and accounting principles.
  7. Analytical ability necessary to gather and interpret data.
  8. Demonstrates proficiency in spelling, grammar, and information technologies.
  9. Dependable, reliable, and protective of sensitive/confidential information.

Physical and Mental Requirements:

  1. Must be able to report on a regular and consistent basis. 
  2. Maintain consistent and punctual attendance.
  3. Duties include frequent walking and physical activity, as well as use of hands and arms for signaling and light lifting/carrying. Must have the ability to move about the classroom/building and school property, including bending, pushing/pulling, lifting, twisting, climbing, stooping, or crouching to complete work-related tasks with and without students. 
  4. The ability to listen and effectively orally communicate information and ideas to a diverse population.
  5. Ability to effectively discern information and formulate appropriate action(s).
  6. Ability to critically think and provide appropriate solutions. 
  7. Ability to work effectively and efficiently.

Environmental Conditions:

Incumbents work in indoor environments with moderate to loud noise levels. Duties may be completed in cold and hot temperatures, including work on slippery and/or uneven surfaces. Work environment includes working around students, school equipment, and office equipment. 

Work Schedules:

Must be available to report throughout the calendar year on a consistent basis.

The individual selected for this position will be required to pass a criminal history background check.
