Office Manager, Community Development Department

Expected Hiring Range: $71,340 - $89,175

Full Salary Range: $71,340 - $107,010 annually

Position Open Until Filled

The Town of Vail is now hiring an Office Manager in the Community Development Department. The Office Manager manages all administrative functions of the Community Development Department and its four divisions (building, environmental, housing and planning) and is responsible for establishing, directing, and implementing daily and long range goals of the Administrative team (administrative assistant, development review coordinator, temporary support and volunteers). Assists the Director of Community Development in developing and implementing programs and policies, budget preparation, personnel policies and issues, and departmental operation effectiveness and efficiency. Guides the direction to and participates in customer service and production activities; responsible for and manages all filing systems; responsible for and manages all Community Development software plan review & permit tracking software. 

Job Duties Include But Not Limited To:

  • Coordinates private development permitting and approval process among Town departments; e.g., Building, Planning, Public Works, Fire Prevention and Wildland Fire. 
  • Monitors development agreements, resolves development related issues and directs scheduling of project meetings and inter-departmental information exchanges to coordinate project requirements and/or resolve project issues all with excellent customer service as the primary goal.
  • Provides leadership, training, oversight, direction, expertise, and knowledge to the Administrative team and assists with the professional development of others within the team. Develops and implements training program for new employees and ensures adequate professional development is received by employees. 
  • Manages, directs and participates in technical research and special studies required by the Director, Information Systems department and Finance department. Aides the director to handle special projects as required. 
  • Manages and maintains the gathering of Community Development data to prepare reports, maintain departmental measurements on program/project progress. Prepares graphs/charts of planning statistics (running and reviewing permit tracking reports for number of staff approvals, number of applications by type, number of inspections, etc.) 

Skills / Requirements

In addition qualified applicants should possess:

  • Working knowledge of New World Finance Software 
  • High level knowledge of Community Development permit tracking and plan review software 
  • Strong experience and knowledge of PC applications (Word, Excel, PowerPoint, etc.) 
  • Possess knowledge of Community development’s and the Town of Vail’s mission and work functions in order to serve internal and external customers 
  • Organizes, prioritizes, develops and personally performs multi-task work assignments. 
  • Must type 50 wpm 
  • 3-5 years of office administration and supervisory experience required 
  • Previous Community Development experience preferred

Education, Experience and Certificates (preferred but not required at time of hire)

  • Lean Foundations Certification 
  • Lean Sigma Six Champion Certification 
  • ESRI – GIS mapping system
