General Statement of Duties

Under supervision performs a variety of clerical and administrative duties involving diversified routine office tasks requiring some independent judgment based upon established procedures; work requires the use of office technology including word-processing and database maintenance skills utilizing various computer programs.
Reports to Division Head or designated supervisor.

Qualifications

Graduation from High School plus two (2) years' general office experience including clerical duties and customer service and the use of general office technology and software, (commercial business/computer programs may be substituted for one (1) year of experience) or equivalent combination of education and experience.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Working knowledge of general office procedures and practices, and business English and arithmetic.
Skilled in the operation of a personal computer and related or industry-specific software and the ability to operate standard office equipment.
Skilled in office conduct, attending work regularly, presenting a groomed appearance, arriving and departing on time.
Ability to listen to and follow instructions and accept correction well.
Ability to maintain standard clerical records and to prepare reports from draft material.
Ability and willingness to maintain confidentiality.
Ability to pay attention to detail and follow written and verbal instructions.
Ability to deal tactfully, courteously and harmoniously with the public and other employees.
Ability to communicate clearly in English, in person and over the telephone.
Ability to perform the physical requirements of the position, including the ability to carry reports, supplies and equipment weighing up to 25 lbs., and for some positions, the ability to lift and/or carry boxes of paper weighing up to 65 lbs.

ESSENTIAL FEATURES:
Schedules appointments, arranges meetings, organizes schedules and coordinates activities.
Receives, records and lists data from documents or records; maintains and makes corrections in detailed records; prepares simple correspondence and standard information; reports necessary information relative to change; proofreads forms or records for completeness of entry.
Assists public and/or parents and students with inquiries and complaints; performs general clerical duties such as answering the phone, filing, collating, preparing and distributing large mailings, copying, and general office help as needed.
Performs data entry, creates simple spreadsheets, prepares routine correspondence, reports, letters and documents such as standardized forms and reports.
Picks up, sorts and delivers incoming mail throughout department or the Town Hall; as mail clerk, collects, weighs and stamps outgoing mail. Interacts with other departments as needed, making routine trips to other Town offices and agencies when required.
Maintains various manual or computer files, classifies and files materials in a simple serial classification system and indexes routine materials.
Performs work operating standard office equipment including a PC, copying machine, fax machine and telephone.
Serves as receptionist, responding to public via phone or in person, retrieving and providing accurate information.
May oversee volunteer or temporary workers.
Performs related work as required.

Supplemental Information

All positions may be subject to an interview process. The Town reserves the right to limit the number of qualified candidates who will be invited to participate in the examination, or any part thereof.
All outside candidates will be required to undertake and successfully pass a pre-employment medical examination, which includes a substance abuse test that includes testing for THC (the psychoactive ingredient in marijuana), given at the Town's expense prior to employment if conditionally offered a part time, full time or safety sensitive position.
The Town of Greenwich has implemented a policy of background investigations all full and part time positions prior to hiring as part of the reference checking procedures for outside candidates. The investigation will only be conducted as the last step prior to an offer. Refusal to sign the release form will terminate the candidate's further consideration.
