We are looking for a dynamic Office Manager to join our Team and help us with our mission!
Under the general supervision of the Library Director or their designee, the Office Manager provides administrative and accounting support of all Library’s finances, processing and maintaining office and equipment supplies, document recordkeeping and compliance and building and fostering vendor relations.
Essential Job Functions:
Preparing weekly payroll for the department. Reconciling employee monthly accrual balances. Preparing requisitions, purchase orders and processing of special orders; process invoices for payment. Receives, reconciles, and records receipts of library fines, trust fund and memorial donations; deposits funds. Maintaining and updating financial records for document retention and preparing financial reports for monitoring department expenditures and budget balances. Prepare end of fiscal year reports reconciling balances for payroll and expense budget. Maintains archival accounting files and personnel records. Records and maintains receipt of goods and services and corresponds with vendors to reconcile discrepancies. Schedules, promotes and collects statistics on adult programming and maintains accounts receivable for meeting room use. Schedules public display cases and gallery space. Performs public service duties in other departments as required by staff absences or volume of service demands. May attend conferences, meetings, and participate in continuing education. May provide backup coverage when necessary. May undertake special projects, committee work, and other tasks as needed at the request of the Library Director or their designee.
