Total Health Environment, LLC is Hiring an Accounting Assistant/Office Admin for a Service and Equipment Distributor Near Orange, CA

Overview:

We are seeking a highly organized and detail-oriented Accounting Assistant and Office Administrator experienced in QuickBooks to join our well-established construction company of 30 years.

Preferable to have experience in preparing quotes.

Main duties in QuickBooks include: invoicing, collection, general bookkeeping along with office admin duties.

Must have excellent communication skills, both verbal and written.

Knowledge of MS office and some EXCEL skills.

Small office environment, working directly with owner and a very team oriented staff.

Responsibilities:

  • Answer company phone and emails and route to appropriate personnel
  • Coordinate and schedule meetings and maintain MS Outlook calendar
  • Run errands (by car) as needed
  • Coordinate and schedule travel and activities
  • Coordinate vendor/customer requests
  • Organize paperwork/mail
  • Complete paperwork and documentation including filing, records, and reports
  • Regularly communicate with management on high priority activities

Qualifications:

  • 3-5 years’ experience as an admin assistant
  • Knowledge of Microsoft Windows Outlook, Teams/Zoom, PowerPoint, Word, and Excel
  • Knowledge of construction or dental equipment experience is a plus.
  • Must have reliable transportation.
  • Organized, Flexible, Adaptable Proactive Self-Starter requiring minimal hands-on management
  • Detail-oriented with good follow-through
  • Problem solving and critical thinking skills
  • Great communication skills composing professional emails, messages and phone calls
  • Positive attitude with strong relationship skills
  • Works well in a demanding and fast-paced environment
  • Able to prioritize tasks effectively
