Description

Role
Responsible for the development of priorities and policies for the maintenance and construction of the organizations facilities. This includes oversight of building renovations, equipment needs and maintenance, grounds/building maintenance, obtaining contract bids, and overall efficient use of facilities. Responsible for the daily maintenance, repairs, installation and construction of the organizations facilities. This includes, but is not limited to plumbing, electrical, HVAC, power generation and back-up, structural, roof, paint, appliances, and equipment. Manages repairs and renovation/construction costs to established budgets. Oversee and maintain an efficient process for delivery of mail, packages to all branches and locations. Performs all task assigned on schedule.
Major Duties and Responsibilities

  • Provides for all facility, construction and associated maintenance and renovations to include plumbing, electrical, HVAC, lighting, drive-up systems, power generation and back-up, structural, roof, paint, appliances, (i.e. to include but not limited to coffee maker, ice maker, microwave, refrigerator and dishwashers), including the purchase of new or replacement equipment. Electronically tracks all issues and actions taken.
  • Works closely with contractors and vendors to address and resolve issues that arise. Maintains familiarity with vendors scope of work to ensure work is being appropriately completed and done to our standards. Works as a liaison between general contractor or vendor, to ensure construction projects remain on-time and on-budget. Places service calls and acts as a liaison to property management for maintenance issues occurring at the Main Office, Potomac Drive and Augustine Avenue. Develops and adheres to annual facilities budget and works within that budget with regards to production and operating expense supplies.
  • Monitors and ensures contractor compliance for company contracts including but not limited to: landscape, janitorial, HVAC, carpet, appliances and snow removal. Coordinates and tracks contracts for janitorial, grounds maintenance and waste disposal at all branches. Prepares bid specifications for company and oversees the implementation contract. Maintains a file of vendors for all facility related functions.
  • Works closely with the Security Officer to ensure buildings, areas and grounds are safe for employees and visitors including placement of security equipment in new or existing branch or ATM locations.
  • Orders and maintains adequate inventory in relation to the facilities management services at all facilities. Performs daily checks and restocks kitchen, restrooms, conference and training rooms as needed. Monitors the facilities email box and responds to employee request and or concerns.
  • Works with vendor to coordinate mail and inter-office deliveries between locations.
  • Responsible for maintenance and overall upkeep of company vehicles.
  • Provides support to the Executive Assistant with internal and external special projects including but not limited to organization meals, annual meeting preparation, and training days.
  • Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.

Qualifications


Knowledge & Skills

Experience
Six months to two years of similar or related experience, including time spent in preparatory positions. Knowledge of building construction and design, modular furniture and basic building maintenance.
Education/Certifications/Licenses
A two-year college degree or completion of a specialized course of study at a business or trade school. A valid drivers license is required.

Interpersonal Skills
A significant level of trust and diplomacy is required to be an effective subject matter expert in the position. In-depth dialogues, conversations and explanations with members, direct and indirect reports and outside vendors of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating and/or advising others on matters of significance.

Physical Requirements
Is able to bend, sit, and stand in order to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 50 lbs. Must be capable of climbing / descending stairs in an emergency situation. Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance.

Working Conditions
Must be able to routinely perform work outside and indoors in a climate-controlled shared work area with minimal noise.
Mental and/or Emotional Requirements
Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to complete basic mathematical calculations, spell accurately, and understand
computer basics. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest
levels of member service and discretion when dealing with the public. Must be able to perform responsibilities with composure under the stress of deadlines / requirements for extreme accuracy and quality and/or fast pace. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
