We are looking for an Personal Assistant to join our team based in Amsterdam! Your #1 goal will be to make sure that the executive team can run this impact company in the most effective way by fostering a smooth operational rhythm through orchestrating schedules, handling admin and smoothen communication, processes, and planning. We’re looking for someone who is a proactive problem-solver with a knack for creating structure and fostering strong connections.

You are a people person that loves interacting with people right across the business but in parallel you have great judgement and discretion, which means you are trusted and respected across the business – so people share their thoughts and feelings with you and you know when and what to pass on to the leadership group to help the business keep getting better (you are also not afraid to share your own thoughts too when it matters).

You'll be an integral part of our FBI Team and report directly to the Chief of Staff. In this role you will work across all levels of the organization and will work closely with the Senior Executive Assistant supporting multiple chiefs like the Chief of People & Culture, Chief of Finance and Chief of Brand and Communication. You'll be the backbone of our executive team, ensuring smooth operations while handling sensitive information with the utmost confidentiality. What you will do:

  • Manage scheduling for company executive(s) and coordinate travel arrangements.
  • Draft, review and send communications on behalf of company executive(s) and maintain clear lines of communication.
  • Create the company year calendar and align on the yearly planning with company executive(s) and their teams and share agenda invites for the year ahead.
  • Organize and prepare for meetings/ team events, including gathering documents and attending to logistics of meetings/team events.
  • Prioritize emails and respond when necessary.
  • Act as a central point of contact for stakeholders across all levels within the organization, fostering strong working relationships and facilitating smooth communication channels.
  • Ensure key information is organized and readily available by maintaining various records and documents for company executive(s).
  • Optimize processes and implement these as part of enhancing overall efficiency and effectiveness of the executive team.

The Ideal Candidate:

  • Minimum of 3 years of Executive Assistant experience in a dynamic fast paced international environment with experience managing multiple individuals across the organisation concurrently.
  • Good verbal and written (English) communication skills.
  • Enjoy creating structure, taking ownership, and think ahead.
  • Flexibility and adaptability to evolving priorities and tasks.
  • Experience using tools such as Outlook, Teams, Excel, PowerPoint, and TravelPerk to manage tasks, schedules, and communications efficiently.
  • Salary range between 46-57K annually inc. 8% holiday allowance.
