Pay Rate: $42,590.00 - $52,550.00/per year. Pay will be determined based on related work experience above required. To be considered in determining pay, all related work experience must be listed on the application.

Position Summary:

The position will coordinate the planning, implementation, and execution of strategies to improve retention, progression, and graduation rates for all students through focused and strategic interventions. The position assists with planning and supporting new student onboarding through contextualized orientation sessions and welcome weeks.

The role also supports the college's recruitment and retention of low-income, underprepared, and first-generation students and their full matriculation through mentoring, academic planning, and success coaching to facilitate success in college. The position will manage a caseload of students across all Pellissippi State Campus locations, and East Knoxville high schools. 

Essential Functions:

30% Execute existing academic support plan for assigned student groups. For example, first-year students, adult learners, underprepared, and first-generation students.

  • Assess the specific needs of assigned students across all campuses
  • Assist students in identifying their personal support system: faculty/staff/peer mentor, services, resources, and referrals.
  • Assist students with core academic and support processes (admissions, advising, financial aid, scholarships, major/degree information, etc.) and make appropriate referrals.
  • Conduct topical workshops (Small group, In-class, and Virtual)
  • Conduct 1:1 Coaching sessions (In-person and Virtual)
  • Track student success initiatives

Assist with progress reporting and early academic notification program referrals and responses.

30% Assist with coordinating the strategic expansion and management of the MOSAIC initiative, focusing on promoting postsecondary access and success for low-income students and other historically underserved populations. Implement effective student recruitment practices with an emphasis on outreach to underserved communities.

Design workshops, seminars, and activities focused on college enrollment, career exploration, support services, and other relevant areas. Coordinate with the Career Development Coordinator to introduce high school students to work-based learning, apprenticeships, internships, and other workforce preparation and job readiness opportunities. Provide direct support and mentoring to new students as they complete the enrollment process, including but not limited to submission of admissions and financial aid applications.

Collaborate with high schools, community organizations, and other partners to drive pre-college engagement activities. Build relationships with students, parents, educators, and community stakeholders to foster trust and community buy-in. Implement best practices in student recruitment, focusing on outreach to underserved communities.

20% Support in the development of comprehensive student orientation transitional programming. Assist with planning and facilitating pre-enrollment activities and presentations for the College, including summer camps, information sessions, campus tours, and off-site recruiting events. Initiate, develop, and maintain positive relationships with faculty, staff, and students across divisions and departments to advance the mission of the college and to impact student readiness and retention across the College in alignment with relevant strategic plans.

5% Maintain accurate records of all student interactions in the EAB/Navigate platform. Help steward the department's overall data management efforts. Utilize Banner, Argos, 25Live, Navigate, Pelli-Biz, and Scholarship database tools for operational support of the Student Success Center. Coordinate with Foundation office staff to award scholarships. Maintain scholarship database. Collaborate with the Title III project staff to assess the effectiveness of MOSAIC interventions. Use data-driven insights to refine and enhance MOSAIC strategies continuously.

5% Coordinate with Marketing and Event Services to timely and effectively promote and coordinate events. Help create and revise marketing materials for the Stay Strong Success Center.

5% Collaborate with Faculty, Staff, Departments and Campus Deans to coordinate recruitment and retention programming and initiatives.

5% Perform other duties as needed.

Key Results Areas: 

Ensure a designated percentage of the incumbent’s assigned caseload maintains good academic standing, as represented by persistence and retention metrics. Percentage to be determined in collaboration with the incumbent’s supervisor.

Conduct a minimum of three coaching sessions with assigned caseload students per semester.

Facilitate a designated number of workshops, seminars, and activities per semester as determined by the incumbent and supervisor.

Serve a specified number of student students through the MOSAIC initiative, as determined by the incumbent’s supervisor.

Facilitate a designated number of collaborative initiatives with high schools, community organizations, and other partners.

Create and facilitate a specified number of orientation trainings, transitional programs, and academic support programs to enhance pre-college engagement and ensure full matriculation of students— Number trainings to be determined in collaboration with the incumbent’s supervisor.

Ensure the recruitment, training, and supervision of approximately 50 Orientation leaders for peak seasons (May to August).

Addressing the varied academic, social, and emotional needs of a heterogenous study body can be complex and demanding.

Operating with limited financial, human, or technological resources may hinder the implementation of comprehensive student support programs.

Overcoming apathy or reluctance from students to participate in programs, especially those who may benefit the most from support services.

Efficiently collecting, analyzing, and utilizing large volumes of student data to inform decisions and measure the effectiveness of initiatives.

Ensuring consistent and effective collaboration among faculty, staff, community organizations, and other stakeholders while balancing differing priorities and expectations.

Adapting to evolving educational trends, student needs, and institutional policies, especially in a rapidly changing higher education landscape.

Definitively demonstrating the impact of programs and initiatives on student success, retention, and graduation rates.

Managing a high workload, including administrative tasks, student interactions, and program development, which can lead to burnout.

Creating and maintaining an environment that is respectful and embracing of different cultures, considering the varied origins of the student population.

Implementing and leveraging technology effectively to support student services.

Job Requirements: 

  • Bachelor’s degree

Minimum of three years of experience in higher education or postsecondary access with at least one year experience in one of the following:

  • Success Coach
  • College recruitment
  • Advising
  • Financial Aid
  • Event Planning
  • Student/Family support
  • College/Career access
  • Or other related higher education or postsecondary access experience.

Part-time work experience is calculated at 50% credit of full-time work experience.

The breadth of the impact of the Student Success Coordinator - MOSAIC Specialist position is considerable, affecting multiple departments such as academic affairs, student services, counseling, financial aid, and external community partners. Given the complexity of the issues addressed by the position, including student retention, academic success, and emotional support, the timeframe over which the outcomes of the actions will be evident can vary:

Implementation of orientation sessions, student training, initial student meetings, short-term workshops, and seminars.

Issues arising in the short term, like scheduling conflicts or resource allocation, typically require the intervention of a supervisor or department manager.

Notable changes in student engagement rates, mid-term academic performance, effectiveness of mentoring programs, or usage rates of support services.

Challenges in program execution or inter-departmental collaboration may necessitate the involvement of a department manager, director, or Dean.

Budgetary:

This position assists the Director with budgetary management as directed. The incumbent will make recommendations to the director as necessary for budgetary needs or enhancements for consideration.

Judgement and Decisions:

This position has input in all aspects of decision-making within the Stay Strong Success Center and the MOSAIC initiative. The incumbent also makes decisions regarding services and programming provided to students.

Nature of Contacts:

Decisions could also impact the success of completing the strategies, activities, milestones, and deliverables of the college at large and the Title III Grant (specifically, the successful expansion of the MOSAIC initiatives), which could, in turn, affect the college’s strategic objectives and mission. The position requires collaboration with many departments within such Financial Aid, Admissions, Advising, Student Support Services, Disability Services, Foundation, Accounts Payable, Procurement Services, Accounting, Payroll, Food Services, Marketing and Communications.

In addition, this incumbent will interact regularly with managers, directors and campus deans to ensure effective coordination of programs, and initiatives
