Benefits and Programs Administrator

As we expand our team, we are seeking a talented and detail-oriented professional to be our Benefits and Programs Administrator. You will oversee and administer our employee benefits program while managing various visa programs and processes. This role requires an understanding of compliance in order to ensure a positive employee experience and legal adherence to all programs.

Duties and Responsibilities

Employee Benefits Administration

  • Coordinate and administer all aspects of employee benefits programs, including health insurance, retirement plans, and other fringe benefits
  • Prepare and coordinate open enrollment
  • Prepare and maintain accurate records of employee benefits elections, contributions, and other relevant information
  • Prepare and submit annual benefit reports, including ACA and census reports
  • Review and approve monthly employee benefits billing invoices
  • Conduct audits to ensure data accuracy and compliance with company policies and legal regulations
  • Connect employees and brokers to support billing and coverage issue resolution

Visa Program Management

  • Serve as the primary point of contact for all matters related to our visa programs, including H2B and TN visas and Green Cards
  • Collaborate with leadership and vendors to ensure accurate and timely submission of H-2B visa petitions and supporting documentation
  • Maintain detailed listing of applicants from year to year including denials and related information
  • Coordinate with staff on selection of applicants
  • Serve as primary point of contact with applicants within the US and abroad
  • Coordinate training with key personnel abroad
  • Maintain compliance with U.S. immigration laws and regulations, keeping abreast of any changes that may impact programs with the support of 3rd party vendors
    • H2B Program Management:
      1. Handle H2B program applications and ensure compliance
      2. Manage paperwork, provide administrative support, and ensure program adherence
      3. Facilitate pre-onboarding, track time during the duration of the program, and oversee participant exits
  • TN Program Management:
      1. Work hand in hand with consultants through coordinating and providing necessary information as requested
      2. Arrange interviews and assist with submitting offers to prospective employees, and source housing for participants
      3. Coordinate pre-onboarding for smooth integration into the TN program and company culture
  • Green Card Program Management:
      1. Handle prevailing wage filing, I-140 filing, and employee status adjustments for Green Card program participants
      2. Work closely with legal counsel to provide required documentation and communication between applicant and counsel

Other Duties

  • Assist Director of Personnel Development with planning and special projects
  • Other duties as assigned
