Three Oaks Law is Hiring a Legal Assistant Near Jacksonville, FL

Three Oaks Law, a leading estate planning and probate law firm, is in search of a skilled, driven, and meticulous Estate Planning and Probate Legal Assistant to join our dynamic team. We are seeking a candidate that aligns with our culture and values. The ideal candidate will assume a critical role in delivering outstanding client-centric service, overseeing administrative duties, and contributing to the overall efficiency of our firm.

Responsibilities:

General Administrative Assistance:

  • Handle mailing, scanning, copying, and other general administrative tasks as needed.

Document Preparation and Management:

  • Assist in drafting and preparing legal documents, including wills, trusts, powers of attorney, and estate administration paperwork.
  • Organize and maintain electronic and hard copy client files, ensuring accuracy and confidentiality.

Client Interaction and Communication:

  • Communicate professionally and effectively with clients, providing updates on case progress and addressing inquiries.
  • Schedule client appointments, meetings, and consultations, and maintain attorney calendars.

Case Management Assistance:

  • Assist attorneys in preparing for meetings.
  • Coordinate with external parties, such as courts and other legal professionals, as necessary.

Team Collaboration:

  • Collaborate with attorneys and fellow staff members to ensure efficient workflow and client satisfaction.
  • Contribute to a positive and supportive work environment by actively participating in team meetings and initiatives.

Requirements:

  • Previous experience in a legal assistant or related role preferred.
  • Proficiency in Microsoft Office Suite, Adobe, and legal software applications.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Ability to prioritize tasks and manage time effectively.
  • Commitment to upholding ethical standards and maintaining client confidentiality.
